Job Summary
Administrative Associate and Special Project Manager
JOB SUMMARY
The incumbent will assist the VP of Finance and Operations and the Business Office with Special Projects and activities in support of the effective operation and mission of the college. The candidate will be responsible for updating, modifying, developing, and automating new and existing reports and other data manipulation and analysis. This position will also perform any additional support tasks and maintain records for the VP of Finance and Operations.The incumbent will often serve as the first line of contact with outside constituents of the office.This position operates in a fast-paced and ever-changing environment. The ability to be highly adaptable while paying attention to detail is necessary.Confidentiality is imperative.
MAJOR DUTIES
¿Calendar management, telephone support, daily mail support and distribution, and office administration
¿Documentation and presentation preparation assistance
¿Prepares correspondence and memos independently or from written or oral instructions
¿Serve as liaison between the VP¿s leadership team and other administrative offices throughout the campus and with students
¿Assistance with contract, affiliation agreement, and memorandum of understanding preparation
¿Serve on college committees as assigned
¿Update and maintain VP of Finance and Operations website
¿Responsible for maintaining Peoplesoft security access
¿Assistance with monthly petty cash counts
¿Assistance with maintaining electronic and traditional files
¿Serves as confidential assistant to the VP of Finance and Operations
¿Safeguards the confidentiality of College, departmental, or office administration by exercising discretion in communicating information to faculty, students, and staff, and handling departmental records and files, personnel actions, performance evaluations, and similar confidential materials
¿Assistance with organization and coordination of college events
¿Perform other duties as assigned.
KNOWLEDGE AND SKILLS REQUIRED BY THE POSITION
¿Must be able to communicate information clearly and concisely in person and/or on the telephone, exercising tact, patience, discretion, and professional demeanor Confidentiality is imperative.
¿Must be able to read, comprehend, gather, prepare, and summarize data from a variety of sources.
¿Must work independently and accurately with attention to detail, handle multiple tasks, and prioritize accordingly.
¿Must possess advanced knowledge of Microsoft Word, PowerPoint, and Excel and the ability to develop competency using additional software as needed
¿Establish and maintain effective working relationships with faculty, staff, students, and the general public.
¿Ability to work effectively as a member of a team.
¿Ability to respond to supervision, guidance, and direction in a positive, receptive manner and in accordance with stated policies.

¿The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee may have to lift a box of folders or light office objects.

MINIMUM QUALIFICATIONS
¿Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to a bachelor¿s degree.
¿Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for two or more years.
