As L.A.'s premiere performing arts destination, The Music Center convenes artists, communities, and ideas with the goal of deepening the cultural lives of every resident in Los Angeles County. The $70 million non-profit performing arts organization has three divisions: TMC Arts, TMC Ops and TMC Business Services, TMC Arts, The Music Center’s programming engine, provides year-round programming inside The Music Center’s four theatres, which include Walt Disney Concert Hall, Dorothy Chandler Pavilion, Ahmanson Theatre and Mark Taper Forum; on Jerry Moss Plaza; outside at Gloria Molina Grand Park, a 12-acre adjacent green space; in schools and neighborhoods all over Los Angeles County; and on a digital platform called The Music Center Offstage. TMC Arts presents world-class dance with Glorya Kaufman Presents Dance at The Music Center, free and low-cost public concerts and events, as well as K–12 arts learning programs, workshops, performances, interactive experiences and special events. TMC Ops manages the theatres, the plaza and Grand Park, which comprise $2 billion in county assets, on behalf of the County of Los Angeles. TMC Business Services includes Advancement, Human Resources, Finance, IT and Marketing and Communications. The Music Center is also home to four renowned resident companies—Center Theatre Group, Los Angeles Master Chorale, LA Opera and LA Phil.

Position Summary:

The Music Center seeks an individual who is passionate about arts, culture and civic engagement to join the Advancement team. The Coordinator is a collaborative, proactive, detail-oriented and highly organized professional who provides essential support for major, principal and planned giving efforts in advancing fundraising priorities for The Music Center.

The Coordinator communicates and interfaces with internal stakeholders across departments as well as with donors, Board of Directors, and volunteers.

Reporting to the Vice President (VP) of Advancement, the coordinator provides high level administrative support to the VP and works closely with the Principal Gifts Officer, Major Gifts Officer, Director of Planned Giving and Director of Individual Giving.

Key Responsibilities:

  • Provide administrative support for the VP in managing calendar, answering calls, and other office related tasks. Track and monitor status of pending items and follow up as needed. Assist with recording donor outreach and activity in Tessitura to preserve key information and documents and maintain electronic records.
  • Facilitate internal and external meeting logistics including scheduling of appointments, agenda and material preparation, conference call set up, audio/video set up, catering arrangements, parking, taking minutes, and coordinating meeting follow up.
  • Provide clerical support to the VP including preparation of correspondence, acknowledgement letters, impact reports, and PowerPoint presentations.
  • Process invoices, expense reports, and other accounting documents for VP’s review.
  • Interface with board members, donors and other VIPS on behalf of the VP.
  • Assist frontline fundraisers with logistics for individual donor meetings and performances as well as preparing donor correspondence and meeting materials.
  • Working closely with The Founders and marketing teams, coordinate complimentary ticketing requests and seat holds for the Advancement department and President’s Office for all Glorya Kaufman Presents Dance at The Music Center performances and other Music Center engagements. Assist VP with department hosting briefing for each engagement.
  • Provide support to the Director of Planned Giving for the Dorothy B. Chandler Legacy Society including coordination with Crescendo, maintaining webpages, and donor communications.
  • Assist Senior Director with the department’s pages in dance issues of Performances magazine.
  • Provide phone support for general department lines.
  • Work closely with the Executive Assistant to the Senior Vice President to oversee department needs such as ordering supplies and maintaining office equipment.
  • Work overtime as well as weekends, as needed.
  • Other duties as assigned.

Qualifications and Desired Skills:

  • Two years of experience working in an administrative role, preferably working in a non-profit organization.
  • Bachelor’s degree.
  • Highly organized with strong ability to effectively prioritize projects and adapt to changing organizational needs.
  • Exceptional interpersonal and communication skills to interact effectively and diplomatically with donors and staff.
  • Basic math skills.
  • Discretion with confidential and sensitive information.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint as well as a relationship database such as Tessitura or Raiser’s Edge. Graphic design experience a plus.
  • Must be highly dependable and maintain excellent attendance and punctuality.
  • Ability to work both collaboratively and independently.

Vaccination Policy: The Music Center requires its employees to be vaccinated against COVID-19, subject to certain exemptions as required by law. New hires working at The Music Center must be fully vaccinated against COVID-19, receiving either the primary 2-dose or 1-dose vaccine. At the Music Center, fully vaccinated is defined as 14 days after receiving the second dose of the 2-dose vaccine (Pfizer or Moderna) or 14 days after receiving the 1-dose vaccine (J&J). Pay Range: $23 - $26/hour. This is a full-time, non-exempt position. The weekly administrative schedule is 35 hours per week, approximately 9 am – 5 pm Monday to Friday, with adjustments to accommodate special events and activities. Compensation package includes medical, dental and vision plans, welfare benefits, generous paid vacation and sick days, and 401(k) plan with employer contribution.
