Summary of position: To provide a wide range of customer service, including clerical, administrative, organizational and professional support to the Admissions department
Education
Required: High School diploma; Previous experience with admissions
Preferred: Bachelor’s Degree; coursework in business administration, education, psychology and/or sociology
Experience
Required: 2-5 years of experience in a fast-paced office with significant emphasis on data entry, familiarity with electronic health records, Excel, Microsoft Office, customer service, and organizational skills
Preferred: Experience working in a residential treatment program, acute hospital setting, school or clinic
Mental Abilities
Required: High degree of organizational and interpersonal skills. Ability to perform an array of tasks simultaneously and must have ability to attend to details. Ability to work independently, initiate and upgrade current systems. Ability to work against and meet deadlines. Must be a team player and be able to interface with many different departments.
Physical Abilities
Required: Requires long periods of sitting, using computer and telephones. Ability to operate and access office equipment. Ability to go to and from all campus programs, climb stairs, and lift boxes up to 20 lbs.
Essential functions:
- Provide administrative and customer service support to the admissions department, including gathering and tracking required material for admission to Walker programs.
- Provide outstanding customer service by creating a welcoming environment for families and collaterals prior to and during the admissions process, including spending time with children during the admission process.
- Work directly with referral sources to discuss referrals, obtain necessary information including placement pages, funding agreements and other important documentation.
- Meet and speak with parents or guardians as needed to thoroughly complete Walker admission paperwork; provide leadership as needed on referrals.
- Perform all administrative tasks related to an admission to one of Walker’s campus-based programs, with special emphasis on clients in the residential and education programs including:
- Ensure admissions packet is completed prior to the client’s admission; secure pertinent, signed funding documents.
- Ensure that all permission forms are completed prior to the client’s admission
- Create initial student record for each new client; take client’s picture
- Maintain all referrals related to admissions in accordance with regulatory requirements and agency standards.
- Assist in developing and maintain admissions materials, including the admissions packet, student permissions, guide for students and parents, and internal admissions procedures.
- Perform routine office work including copying, mailing, scanning, and faxing; provide intermittent coverage at the reception desk.
- Support the management of agency contracts for service delivery.
- Collaborate with Walker’s Finance Office regarding admissions, billing, funding, and census information.
- Oversee and maintain Marketing databases
- Attend MAAPS Admissions meetings and marketing events, as needed
- Develop and manage a census database.
- Assist with CBAT admissions and phone coverage when needed.
- Additional administrative support duties as assigned.
- All other duties, as assigned.

No supervision of personnel.
