How You Will Contribute
The Administrator of Public Programs will help realize a range of programmatic offers for adult audiences, ranging from talk-based programming, artmaking, performance, and more. This position provides key administrative and logistical support, including communicating program information with internal colleagues and the public, program set up (for both virtual and in-person programs), and recordkeeping. The Administrator of Public Programs will report to the Manager of Adult Public Programs and work closely with the Coordinator of Adult Public Programs. In addition to engaging with Public Programs staff and adult audiences, the Administrator works with staff across the museum and attends cross-departmental meetings to represent the work and needs of Adult Public Programs.
Specifically, you will:
- Provide support for on-site and virtual talks, including event set up, Q&A, and break down/follow up
- Assist in the presentation of artmaking projects, from preparing supplies to setting up artmaking tables and breaking down after the event
- Welcome visitors to Public Programs and encourage participation
- Help troubleshoot logistical issues related to the successful execution of Public Programs
- Take part in planning and brainstorming meetings related to programs around the collection and exhibitions
- Download and manage program registration and, if needed, upload to Zoom
- Manage Public Programs inbox, including correspondence with adult audiences, program follow-up emails and surveys, and responding to submissions/inquiries
- Create and submit invoices
- Update relevant calendars with Adult Program information
- Draft and submit social media information, including descriptive blurb, image, and tags, that represent Adult Programs
- Maintain records of department, including program registration and statistics, survey data, image and video files, post-program evaluation, and other files.
- Attend Learning & Engagement Division meetings, Departmental meetings, Public Planning and Needs Meetings, and other cross-museum meetings to represent Adult Public Programs work and needs.
- Request accessibility services for programs when needed.
- Make the space reservations for public spaces used by adult programs.
- Perform other duties as assigned
Your background and experience include:
- Interest in art, art history, and/or working in a museum environment
- Ability to communicate in a clear and timely manner
- Experience in a professional environment requiring diplomacy and the ability to relate well to people from many different backgrounds
- Excellent customer service skills; friendly, outgoing, and personable manner
- Attention to detail and ability to work accurately under deadline
- Ability to meet and solve challenges collaboratively and creatively
- Familiarity with Microsoft Office products, specifically Outlook, Word, Excel, Teams, and SharePoint a plus.
Position and Compensation Details
- The HOURLY RATE for this position is $21.98.
- This position is FULL-TIME, NON-EXEMPT, and 35 hours per week.
- This position is part of the AFSCME Local 397 bargaining unit.
- This position reports to the Manager of Adult Public Programs.
- Physical requirements:
- Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus
- Periodically move throughout museum departments
- Frequent use of multiple technical equipment and applications
- Ability to lead groups throughout the museum’s galleries
- Ability to move 50 pounds and lift 25 pounds
- COVID-19 vaccination required.
- Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
- PA Child Abuse Clearance and FBI Fingerprinting required.
