Description
The Administrator, Advisement Center will assist in the delivery of comprehensive advising support related to all aspects of academic advisement to engage students at each point in their life cycle as a student. The Administrator works within a team environment to provide functional and technical support to optimize engagement of students through advisement, registration, and certification, according to the College's strategic plan, to create an educational environment that promotes and fosters student success from initial contact to achievement of desired educational goals.
Examples of Duties
  1. Responsible for maintaining daily operations of the Advising Center; utilizing technology to inform, engage and schedule students with appropriate advisors for individual and/or group appointments.
  2. Responsible for the supervision, scheduling, and training of Student Workers assigned to the Advising Center and/or lobby of Student Services building.
  3. Collaborates with New Student Orientation advisors by preparing registration reports of attendees ahead of all scheduled events and maintaining future registration events in scheduling software.
  4. Develops and maintains a strong knowledge of college policies and procedures, including processes governing registration rules, academic standing processes for honors and probationary levels, student administrative issues, certification of degree attainment, and curriculum changes.
  5. Serves as the functional expert for degree certification process.
  6. Manages the online application to graduate and process to certify graduates.
  7. Creates communication plans to engage students for all yearly graduation terms and case manages individual student certification issues with advisement team as they arise.
  8. Assists Director in pulling commencement reports, validating lists of graduates, and executing print and electronic communications to eligible graduates.
  9. In collaboration with Student Engagement and Marketing departments, communicates to students to encourage participation in annual commencement exercises, produces accurate graduate list for print materials, and fields student, faculty, and staff questions related to student commencement list.
  10. Responsible for scanning and linking of advisement forms and electronic transmission of the results of Transfer of Credit Evaluation in accurate and timely manner.
  11. Serves as functional support for the Office of Academic Advisement and Retention
  12. Serves as the functional support for a variety of technologies employed by the department to include, but not limited to: Banner Student Module, WuFoo, MailChimp, Bookings, Qless, RCSJ Analytics. Is proficient in making changes, understanding software updates, and pulling reports with these technologies.
  13. Creates and executes ad hoc communication plans in print and digital format.
  14. Maintains confidentiality and adheres to federal, state regulations and college policies and procedures in accordance with FERPA regulations.
  15. Responsible for completing purchase requisitions, check requests, travel authorizations, professional membership registrations, and supply orders for department while ensuring sufficient budgetary funds.
  16. Maintains and revises department forms, programs guides, and other resources as needed to ensure accuracy.
  17. Understands the student enrollment and registration cycles and provides support to staff when responding to student issues and provides back-up support to the visiting student registration process during periods of high volume.

Minimum Qualifications
  • Bachelor's Degree with three years of progressively responsible experience in higher education enrollment/advisement services required.
  • 2-4 years of Higher Education experience, advisement experience preferred.
  • Experience with a Higher Education Software, Ellucian Banner or Anthology preferred.
  • Excellent computer skills, including proficiency in all Microsoft Office applications including Word, Excel, and Access.
  • Experience with CRM software and appointment scheduling software
  • Excellent oral and written communication skills with experience presenting to individuals and large groups
  • Ability to work with discretion, maintain confidentiality, and exercise sound independent judgment
  • Ability to work a flexible schedule with variable hours, includes evenings and possible weekends.
  • Possess the ability to work well and communicate effectively with prospective and current students, staff, faculty, administration, and colleagues and community partners
  • Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic and ethnic backgrounds of community college students, faculty, and staff and a commitment to a student-centered environment

Pension Benefits:
Participation in the New Jersey State Pension System is a requirement of employment. This position requires enrollment in the Alternate Benefit Plan (ABP). ABP is a defined contribution plan that offers substantial opportunities for long term tax-deferred investment. Six investment carriers are authorized to provide investment options and service under ABP. Under this plan, employees contribute 5% of their base salary with an 8% employer match. Health Benefits:
Medical: RCSJ offers its employees several health insurance options through the NJ State Health Benefit Program as a local education employer. All employees are required to contribute to the cost of their health benefits under Chapter 78, P.L. 2011.
Dental: The College offers dental insurance through Delta Dental with four plan options (base plan is free to employees).
Group Life Insurance:
Life Insurance is underwritten by the Prudential Insurance Company of America, Inc., and is provided as a result of pension membership. There is no cost to the member for this coverage. The State Treasurer is the official policyholder for all the Noncontributory Group Life Insurance, which is issued as Policy Number G-14800.
Flexible Spending Accounts:
The flexible spending program allows you to deduct pre-tax dollars which can be used for co-pays, deductibles, dental, vision, and dependent day care. The medical limit is $2,650 per year, and the dependent care limit is $5,000 per year.
Tuition Reimbursement/Waiver- RCSJ offers tuition reimbursement for up to 12 credits per fiscal year. The College also offer a tuition waiver for RCSJ courses for employees and eligible dependents.
