Job Description
We are currently seeking an organized and detail-oriented Administrative Support Specialist to join our team. The successful candidate will play a crucial role in managing administrative tasks, including calendar management, document organization, and assistance with Requests for Proposals (RFPs) and Statements of Qualifications (SOQs).
Responsibilities but not limited to:
1. Calendar Management: Sign up for and efficiently enter calendar appointments for upcoming events in accordance with Donya's schedule.
2. RFP and SOQ Support: Provide valuable assistance in the preparation and coordination of Requests for Proposals (RFPs), Statements of Qualifications (SOQs), and similar documents.
3. One Drive Organization: Methodically organize and maintain folders on One Drive ensuring accessibility and systematic storage of essential documents.
4. Business License Paperwork: Complete and manage business license paperwork, ensuring compliance with regulatory requirements.
5. Bid Management: Establish a dedicated folder for each bid, overseeing the organization of related documents.
6. Document Review and Proposal Creation: Read through RFPs/SOQs, create comprehensive proposals, and ensure alignment with submission requirements. Compile and generate a professional PDF format of the finalized RFP/SOQ response submission. Thoroughly fill out and submit all necessary forms associated with RFPs and SOQs.
7. Generate client invoices using QuickBooks Online (QBO).
Qualifications:
- Proven experience in administrative roles, with expertise in document management.
- Proficiency in calendar management tools, Microsoft Office Suite, QuickBooks Online, and document creation software.
- Strong organizational skills and acute attention to detail.
- Ability to work collaboratively in a team and independently.
- Excellent written and verbal communication skills.
- Experience in writing proposals is a plus.
