SUMMARY
Assists in front office by performing the following duties in compliance with ISO guidelines:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Gathers all paperwork from Traffic Coordinator, sorts by number, checks pricing, production and packing slip and releases for billing.
Retrieves messages from voice mail and forwards to appropriate personnel.
Answers incoming telephone calls in a friendly, professional manner, determines purpose of callers, and forwards calls to appropriate personnel or department.
Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Answers questions about organization and provides callers with address, and other information.
Welcomes on-site visitors and monitors visitor access, determines nature of business, and announces visitors to appropriate personnel in a professional manner.
Checks in and routes all incoming packages to appropriate departments.
Prepares, logs, and affixes shipping labels on packed cartons.
Posts weights and shipping charges, and affixes postage.
Processes International shipping.
Gives requested estimates of UPS charges.
Checks ATAS general email box throughout the day and disperses information.
Distributes mail for outside sales team.
Turns announcement monitors on and off.
Posts and logs all incoming and outgoing Certified and registered mail.
Processes coil tags and mill certs
Keeps front lobby, front office, production breakroom and conferences rooms neat and organized as needed.
Approves and prints transmittals, occasionally completing transmittals.
Prepares coffee for the office, in-house training and visitor events, and is responsible for maintaining the Kennis Cafe, by loading and emptying dishwashers.
Assists with color chips, including printing color chip labels.
Assists with special projects.
Backs up shipping services assistant as needed.
Orders office supplies as needed.
Assists and problem solves with the vending program
Follows all company safety rules.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to follow established safety rules.
