Tippie College of Business is now accepting applications for the role of Administrative Services Specialist.



This position will provide administrative support to the non-degree, executive education programming for the Tippie College of Business. This position must be able to work collaboratively across departments, the UI Center for Advancement, and the community. This position is eligible for a combination of on-campus and remote work. Work arrangement options will be discussed during the hiring process.



A successful candidate will be a positive, dynamic self-starter, flexible to adapt to unexpected change, and be able to make decisions in a fast-paced environment. This individual must be comfortable interacting with stakeholders of all organizational levels, including C-suite, and enjoy meeting people and networking.
This position will support and coordinate logistics for Tippie Leadership Collaborative (TLC) programs and will be responsible for the administrative support of our non-degree, customized, executive and professional education programming for corporate, community, and campus partners. This includes working with the TLC team on strategy for the operation, responding to requests from potential and current clients, scheduling meetings with clients and faculty, helping support program delivery, and creating proposals and materials, as needed. In addition, this position is responsible for execution of the agreements made between the client and the college, managing billing and accounts payable for work executed, and coordinating the HR logistics to ensure faculty are paid for their work on a timely basis. The person in this role will inform faculty of client expectations and provide guidance on Executive Education standards and expectations. The Administrative Services Specialist will ensure that all materials are purchased, prepared, and on hand for each TLC engagement, whether virtual or in-person. If coordinating an in-person event, this role is responsible for access to the space, catering needs, and any other in-person delivery logistics.

Specific Job Duties and Tasks:



Operational Support and Management

  • Assist in planning, coordinating, and delivering logistical aspects of the college’s customized, non-degree executive education programs
  • Support operations by creating and sending contracts, scheduling vendors (catering, supplies, venue, parking, etc), and facilitating assessment evaluations
  • Assist with pre- and post-event meeting scheduling, event set up, scheduling and room reservations, and other program logistics as requested

Financial Responsibility

  • Purchase supplies and equipment, and process receipts with University Shared Services
  • Invoicing and payment collection for non-degree, executive education engagements
  • Track payments; monitor all revenues and expenses for programs

Human Resources (HR)

  • Coordinate the letters of commitment for faculty teaching in customized programs and Memorandums of Understanding for clients
  • Coordinate with the HR transaction hub to pay faculty who are teaching

Information Management

  • Data management in OneDrive, Excel, Salesforce, MAUI, and other platforms used to track program information
  • Monitor UIowa and community resources (newsletters, etc.) and share relevant information and seek opportunities for collaboration

Communications Management

  • Compose logistical communications for faculty, corporate partners, and event participants
  • Support the creation and distribution of presentations, annual reports, outcomes, and faculty/client feedback
  • Assist in the creation, coordination, and preparation of strategic communications in support of a project, program, department, or college/unit

Leadership/Supervision

  • May provide direction, assignments, and feedback to student workers and/or staff

Hybrid within Iowa: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Salary: $45,000-$60,000

POSITION QUALIFICATIONS



Education Requirement

  • Bachelor’s Degree or the equivalent combination of education and experience.

Required Qualifications

  • Demonstrates experience (typically 6 months-1 year) and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with computer software applications
  • Must be highly organized and detail-oriented
  • Exceptional written and verbal communication skills
  • Demonstrated ability to organize and manage multiple complex events/programs simultaneously to successful conclusion
  • Demonstrated ability to develop and strengthen working relationships with diverse populations, including internal and external constituents, through positive interaction and collaboration
  • Demonstrated ability to work independently and as a team member to accomplish goals
  • Valid drivers’ license and ability to meet and maintain UI Fleet Safety policy
  • Ability to move and position up to 20 pounds

Desired Qualifications

  • Knowledge of University policies and procedures, including financial and human resources policies; and experience with University electronic systems including HRIS, MAUI and Workflow processes
  • Experience working in an academic department
  • Experience creating or improving office operations
