Overview:
Performs assignments of an organizational and administrative nature to further the goals and initiatives of the day-to-day business operation which are uncategorized through existing departments.
Duties including but not limited to:
- Responsible for the Front Office staff and area.
- Provide administrative support to the General Manager and other executive staff in the office.
- Manages calendar for all full time staff, General Manager and the President.
- Coordinates and arranges meetings for committees, the Board, Fair leadership and management.
- Attend evening meetings of Board of Directors and designated committees.
- Direct liaison to the Board of Directors including constant communications with Fair Officers.
- Prepares and mails/emails monthly Board letter, calendar and Board/committee meeting notices.
- Records and tracks Director attendance for meetings.
- Proofs and archives all meeting minutes for Board and committee meetings.
- Coordinates all Fair social events including but not limited to annual Christmas Party, Governor’s Day Reception, annual fair visits, directors’ social events, etc.
- Coordinates, registers and books all staff travel including registration for conferences and conventions.
- Handles confidential information, reports, correspondence, etc.
- Manages Grove Camping for annual Fair to include maintaining database, preparation and mailing of contracts, handling camping fee receipts, preparing camper passes and post-Fair verification of receipts.
- Orders and maintains office supplies.
- Places all orders for any supplies needed for day-to-day operations, for Fair time and for the Centre.
- Completes offer letters for new employees.
- Manages ongoing capital and expensed projects list for the grounds.
- Selects and orders annual Director and Jr. Board gifts & supplies (i.e. Fair shirts).
- Preps annual Personnel committee research and backup documents.
- Prepares and drafts contract between The Delaware State Fair, Inc. and any third parties.
- Serves as resource for other staff members for various business-related purposes.
- Main contact for IT issues in the office and serves as direct liaison with IT department for issues beyond our permissions.
- Primary for coordinating grant submittals.
- Track staff’s master list of Fair related tasks.
- Monitor contracts and expirations dates with vendors.
- Various Fair time tasks.
- Credentials Department duties and manage Credentials staff.
- All other duties as assigned.
Requirements:
- Proven experience in an administrative role
- Positive attitude with a teamwork mindset
- Strong organizational skills with the ability to prioritize tasks effectively
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Proven calendar management experience
- Excellent communication skills, both written and verbal
- Knowledge of basic budgeting principles
- Ability to handle sensitive information with confidentiality
- Strong attention to detail and accuracy
- Professional phone etiquette
