Job Summary
Under the general direction of the Sheriff, performs administrative duties in support of all Sheriff’s Office functions. This position provides assistance to all Sheriff’s Office employees, as well as the public. This position handles highly confidential information and must function efficiently and effectively in a fast-paced, professional environment.
Primary Duties & Responsibilities
- Performs a variety of clerical and administrative functions relating to the department including internal and external communications, records maintenance, accounts payable and invoice processing for the department, and a variety of other office duties.
- Provides reception services including receiving visitors to the Sheriff’s Office, answering inquiries regarding office procedures and/or directing to proper source, answers routine inquiries, takes messages for staff, and routing others to proper sources.
- Handles incoming and outgoing correspondence, including emails, phone calls, and faxes.
- Maintains calendars and schedules appointments for the Sheriff and others. Coordinates travel arrangements and logistics for meetings, trainings, and special events.
- Manage and plan special events including golf outings, fundraisers, award ceremonies, retirements.
- Serves as Human Resources liaison. Assists with personnel management at the administrative level, including coordination of recruitment, background screenings, forms, and generally responding to employee inquiries about HR-related processes and procedures. Assist with the onboarding and offboarding process for employees.
- Performs detailed filing and record keeping duties utilizing several systems. Develops and maintains filing systems.
- Assist the Sheriff and staff with projects by leveraging technology, organization, and communication support.
- Performs clerical functions such as preparing correspondence, taking notes at meetings, and preparing meeting minutes.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred
- Minimum of two years of related experience providing administrative support; law enforcement office experience preferred
- Oral, written, and interpersonal communication skills including customer service skills
- Organizational and time management skills
- Proficient in Microsoft Office (including word processing, spreadsheets, presentation slideshows, and email)
- Ability to balance competing demands for time and prioritize workload to meet deadlines
- Ability to maintain high levels of confidentiality and integrity
- Ability to work effectively with individuals and groups from a variety of identities, cultures, backgrounds, and ideologies with a commitment to equity and inclusion

Working Conditions
Work is generally performed in a standard office setting on-site. Occasional travel may be required. Physical ability to occasionally transport items weighting up to thirty (30) pounds. Incumbent is frequently required to sit for extended periods of time. Incumbent is periodically required to perform repetitive movement and/or stand for extended periods of time.
