First, Meridian Heights Presbyterian Church seeks a Church Administrator for our small but mighty team. FMHPC is a warm, open family of faith in the heart of the Meridian-Kessler, SoBro and Butler-Tarkington neighborhoods. With a rich community engagement and service history, we continually seek to share God's love beyond the walls of our church. At the same time, we're committed to nurturing the faith - and meeting the needs - of those who gather inside the church (in-person or online).

FMHPC is affiliated with Presbyterian Church USA, a mainline Protestant denomination in the United States. It is the largest Presbyterian denomination in the country, known for its liberal stance on doctrine and its ordaining of women and members of the LGBT community as elders and ministers. The church is open and affirming, with a clear stance against systemic racism.

Job Summary

The ideal candidate will bring communications and administrative support to the staff but also serve as a resource for all church members and leadership committees. The Church Administrator should balance productivity and focus with engaging the whole congregation and seeking to learn names and build relationships.

We are a small but growing congregation in a large building, which we make available to various organizations. There are many moving parts to maintaining - and sharing - the building as well as to providing worship, study, service projects, and fellowship opportunities. Our elders, deacons, and other church members work with our Pastor and Director of Youth and Children's Ministry through various committees that provide vision and leadership for the work of the church. The Church Administrator is crucial to the smooth functioning of all aspects of church life. Therefore, we require someone who is organized but also creative, able to manage processes and databases but also able to be warm and welcoming, ready to accomplish ongoing tasks but also open to special projects, a self-starter who works well alone but also enjoys collaborating with others.

Responsibilities:

Communications

  • Maintain the church calendar and use it to inform communications with the congregation and the community.
  • Maintain church membership database and neighborhood group lists and produce church directories as needed.
  • Prepare and send communication to the congregation through weekly email correspondence (currently Mail Chimp).
  • Communicate with the congregation and the community through Facebook and Instagram posts.
  • Maintain and update the church webpage (currently Duda).
  • Ensure the production of the Worship Bulletin, Announcements, & PowerPoint for Sunday Worship.
  • Produce mailings, reports, signs, and banners as needed.

Building

  • Coordinate building use/setup for outside groups (AA, Scouts, etc.) and special events, including church meals, meetings, weddings, funerals, and tenant events.
  • Coordinate the church calendar with the preschool calendar, addressing any conflicts.
  • Work with the Maintenance Manager and Custodian to order supplies as needed.
  • Order coffee and snacks for Sunday mornings.

Finances

  • Receive bills, reimbursement requests, and other payables and upload to Books in Order shared folder.
  • Record and track financial gifts (PowerChurch) and provide appropriate acknowledgment/quarterly giving statements to the congregation.
  • Provide other information needed by Books in Order (or bookkeeper).

Support for Clerk of Session

  • Maintain membership spreadsheet/database.
  • Track weddings, deaths, funerals, births, and baptisms (and update the database accordingly).
  • Coordinate the creation of the Annual Report to the Congregation.
  • Coordinate the completion of the Annual Statistical Report to the PC(USA).
  • Assist with the compiling of Session minutes and entry into minutes' books.
  • Assist in the preparation of other reports as needed.

Other Office Support

  • Complete and submit CCLI reports (use of church music) and other reports as needed.
  • Coordinate maintenance of office equipment.
  • Organize and order office supplies as needed.
  • Place orders as requested by elders of the church or church staff.
  • Provide other administrative assistance as reasonably requested by the Pastor, Director of Youth and Children's Ministry, other staff, and volunteers to facilitate the efficient work of the church.

Qualifications and Knowledge:

  • Five years of office experience is strongly preferred.
  • Superior problem-solving skills; confidence and creativity when approaching projects or challenges.
  • Effective verbal, writing, and editorial skills.
  • Strong organizational skills; ability to multi-task and handle requests from multiple sources.
  • Have a caring attitude, excellent people skills, high integrity, and exercise strict discretion and confidentiality.
  • Have strong clerical and social media skills to include:
  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher)
  • Dropbox
  • Facebook and Instagram
  • Mail Chimp for email and Duda for website (or ability to learn these)
  • Text messaging for communicating with staff and church members
  • Power Church membership/financial database (or ability to learn)
