GENERAL JOB DESCRIPTION
The Administrative Sales Assistant (ASA) provides front line support for the Sales Department at BCI. The ASA effectively assesses customer requirements, responds to customer inquiries and ensures proper delegation of resolution to the Regional Sales Managers (RSMs) and Account Managers of the Sales Team. The ASA also provides administrative support for field level activities and development of new business opportunities. The individual in this position will act as a communication bridge between the field-based Sales Team and the Group's departments: General Industries, Coil, Extrusion, and Wire, customers, and suppliers.
DUTIES AND RESPONSIBILITES
- Coordinate services and communicate information developed in the field to necessary Group's departments, especially Management.
- Act as the "department hub" that is a visible and engaging presence of BCl’s sales information and distribution.
- Meet or contact established customers on a regular, rotating basis, or as directed by Management.
- Assist the Sales Team in setting up new client accounts and new and existing promotional advertising and marketing material and literature.
- Represent Regional Sales Managers (RSMs) and others as required at meetings and work groups as needed (ex. Leadership Meeting, Training work groups, etc.)
- Assist and manage staff and leadership schedules; update RSMs’ internal tracking documents; schedule meetings, lunches, dinners, and training workshops as needed.
- Responsible for travel arrangements and registrations for events, such as annual tradeshows, national sales meetings and any other events as needed. Full event planning required.
- Assist staff and leadership in tracking and reporting advertising contacts; provide reports to Chief Executive Officer, President and RSMs as required.
- Monitor and order promotional item stock as needed; identify potential promotional materials and assist with budgeting for events and customer services.
- Assist and develop both annual and special-focused market surveys (both written and electronic web-based), as needed.
- Update written promotional materials and assist in maintaining regularly updated website material (at least one time weekly).
- Communicate marketing needs to consultants preparing materials and confirm that consultants/vendors have followed through with marketing vision and branding, specifically on our website.
- Complete and provide market research to support the Department's goals as needed, including researching potential accounts.
- Develop and maintain project tracking tools to assist the Sales Team and leadership with priorities and accomplishing goals within defined timeframes; keep up to date on issues and developments and communicate information to the Sales Team, leadership and RSMs, Supervisors/Managers, as needed.
- Create and use current document templates for common processes.
- Monitor Google analytics on existing websites and deliver monthly summary reports to RSMs.
- Deliver monthly revenue reports to RSMs in a timely manner.
POSITION QUALIFICATIONS
Education:
- High school diploma or GED
- Associate or bachelor's degree in business administration or similar,
Experience:
- Experience in sales administration, or a similar role
- Event Planning experience is required
- Experience and proficiency with Microsoft Office 365 and all MO365
- Work experience under limited supervision
