The Operations Associate works collaboratively and independently to perform a wide range of duties that fall within Line of Business operations. The Operations Associate is key support to the Line of Business Leaders, COO and other Operations team members who support the Line of Business functions. This position supports and effectively executes a wide range of complex and confidential administrative support duties for all Lines of Business operations.
Compensation: $20.00 - 26.00 per hour
Work Environment: On-site at either our Bellingham, Lynden, Wenatchee, or Yakima office (Hybrid work eligible) Some infrequent travel between office may be needed.
Core Responsibilities:
- Supports Line of Business Leaders (LOBLs), Practice Area Leaders and Chief Risk Officer in maintaining and updating LOB (Line of Business) policy documents, handbooks and workpaper templates and flowcharts as needed, including archiving expired documentation.
- Manage and maintain communications in Microsoft Teams Channels and iChannel.
- Initiates the annual process for marketing collateral review, coordinating with Marketing, LOBLs and Practice Area Leaders (PALs).
- Maintain IRS Signature Guidance document and relevant Tax Policy documentation.
- Maintains annual staff Licenses and Certification information updated.
- Draft and submit weekly newsletter postings at the direction of Tax LOB Leader.
- Support the LOBLs, COO and other Operations team members (Firm Scheduler, Administrative Services Manager, Operations Managers, Operations Seniors, etc.) as needed with operational activities that support Line of Business efforts.
- Maintain LOBL calendar schedules (if requested), including attendees, day-to-day and long-term management of meetings. This includes, but is not limited to, scheduling all meetings and travel, including prioritizing meetings and communicating all relevant details to all participants.
- Maintains documentation and template resources for multiple LOB.
- Manages several department software applications (DataSnipper & Quickfinder Book).
- Supports the coordination and execution for LOB Department meetings (typically quarterly).
- Advanced-level experience with Microsoft Office products (Word, Excel, Outlook) and tools (Pivot Tables; Comfortable learning new software; Database skills a plus).
- Proven ability to meet deadlines while creating high-quality work.
- Ability to switch gears quickly and effectively.
- Independent problem solver with the ability to work as a collaborative team member.
- Minimum of two (2) years of increasingly responsible administrative work.
- Requires graduation from high school or equivalent.
- Prior experience working in a CPA firm a plus.
