Center for Living & Working, Inc. (CLW) is located in Worcester, Massachusetts and is a 501 (c) 3non-profit agency founded in 1975 by a core group of young adults with disabilities. CLW is a consumer-directed, multi-programmed, multifaceted agency, dedicated to the empowerment of all persons with disabilities to live as independently as possible. CLW provides five core services: Advocacy, skills training, peer support, information and referral and transitions.
CLW is looking for an Administrative & Human Resources Assistant to join the Finance and Administration Department.
Responsibilities:
- Provide administrative support to Associate Executive Director, Finance & Administration, Chief Executive Officer and Senior Management Team.
- Organize and execute recruitment and hiring process as directed by management.
- Prepare and process all paperwork for new hires and terminated employees including processing enrollments, changes, and terminations of participants in all benefit plans and programs.
- As requested by Senior Management, provide support during employee orientation and administrative procedures.
- Maintain updated recruitment resources and hiring records, assist with new employee background checks, employment applications, resumes, and job postings.
- Manage facility needs for the office and function as point of contact for internal staff by fielding issues and problems before presenting them to Senior Management.
- Manage office equipment and act as Coordinator for IT support and services for the office. Ensure that the workspace, computer and other equipment, mailbox, and appropriate installed software are ready for the new employee's start day.
- Coordinate all internal moves, including office furniture, equipment, phone access along with making sure ADA compliance is met.
- Maintain Executive and Board files including maintaining all corporate documents and minutes of Board meetings and Committee meetings, Board recruitment and orientation materials.
- Liaison for Management and Board of Directors including preparation for and attendance at meetings, scheduling conference room and catering, arranging reasonable accommodations, taking meeting minutes, and providing follow up as needed.
- Order and maintain office and break room supplies and keep track of office supplies.
- Assist with the coordination of performance review process, assuring scheduled deadlines are met.
- Maintain personnel records according to regulatory requirements to include benefits offered by CLW, COBRA, unemployment and disability.
- Support organization and execution of departmental events [e.g., arrange catering, coordinate location, etc.]
- Other duties as assigned.
Essential Functions (requirements):
- Frequent communication (orally and/or in writing) with staff, board members and other third parties.
- Ability to conduct individual and small group presentations.
- Ability to understand the requirements of CLW’s personnel policies and benefit programs and to be able to educate staff regarding the parameters of the policies and programs.
- Ability to accurately enter information into database.
- Ability to use office machinery, including calculators.
- Ability to remain in a stationary position for extended periods of time.
- Ability to maintain strict confidentiality.
Qualifications:
Education
- High School or equivalent (GED) required; associate or bachelor’s Degree in related field (office administration, Human Resources) preferred.
- Relevant experience may be substituted for educational requirements.
Experience
- Minimum of 3-5 years as an administrative or executive assistant required; human resource experience preferred.
- Excel, Microsoft Office, database management required.

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
