The Administrative Coordinator plays a pivotal role in our outpatient Co-Occurring Substance Use Disorder (SUD) Treatment Program, taking on duties which involve both receptionist responsibilities and office management tasks. This dynamic role is designed to support the efficient functioning of the program while providing the opportunity for professional growth as the program expands.
Key Responsibilities:
1. Exceptional Customer Experience:
- Greet and assist clients, visitors, and staff in a welcoming and professional manner.
- Answer and direct phone calls, taking messages as needed.
- Manage appointments, schedules, and assist with client intake processes.
2. Office Management:
- Oversee day-to-day office operations, ensuring a smooth and organized work environment.
- Assist in maintaining office supplies, equipment, and coordinating maintenance as required.
- Collaborate with staff to support administrative needs and facilitate effective communication.
3. Data Entry and Documentation:
- Input and manage client information in the electronic health record system.
- Assist in the preparation and organization of program-related documentation.
4. Coordination of Meetings and Events:
- Schedule and coordinate internal meetings, ensuring appropriate documentation and follow-up.
- Assist in organizing events or training sessions as required.
5. Assist in Financial Transactions:
- Support basic financial tasks such as petty cash management, expense tracking, and invoice processing.
6. Professional Development:
- Actively participate in training and skill-building opportunities to enhance administrative and managerial capabilities.

Qualifications:
- Minimum of 2 years of administrative experience, preferably in substance use disorder treatment or healthcare setting.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and familiarity with electronic health record systems.
- Ability to adapt to evolving responsibilities and take on new challenges.
