Availability: The Administrative Communication Assistant must be available to work Monday through Friday with a typical 8 hour shift, which includes one work-from-home day after a training period. This position may include limited holiday and weekend work as well as after hours work when absolutely needed.
General Position Summary:
Brother Wolf is seeking two highly organized and detail-oriented coordinators who will provide support for Brother Wolf's administrative functions across departments. The Administrative Communications Assistant will be a strong communicator who collaborates with multiple departments to deliver on administrative tasks, essential in ensuring smooth operations.

The organization is looking to fill 2 full time positions.
Essential Function/Major Responsibilities:
- Assists with donor database management: data entry, donor thank you letters, generating reports as needed.
- Vendor management and communication including liaising with companies for facilities maintenance/repairs.
- Fleet management including scheduling maintenance and record upkeep.
- Assists with data entry, document upload, and record management in ShelterLuv and Get Connected.
- Oversees all supply and inventory purchasing, and vendor relationship management, including tracking and organizing needed supplies for Foster and Volunteer programs.
- Coordinates details of staff appreciation and comradery events.
- Provides general administrative support to director level staff.
- Treats all animals humanely, properly, and with compassion at all times, regardless of the situation or circumstance.
- Fills in for other areas and performs other tasks/functions as needed.
Qualifications:
- 1+ years of administrative experience.
- Strong organizational skills with the ability to project manage several projects at any given time.
- Excellent interpersonal, communication, and time management skills are essential.
- Ability to collaborate between multiple departments with professionalism and clarity.
- Bilingual skills are a plus.
- Ability and initiative, working with minimal supervision and direction.
- Maturity, excellent judgment, and a professional appearance.
- Proficient computer skills required, including MS Office, MS Excel, and Google G Suite.
- Ability to read, write, and understand English is required.
- Must be at least 18 years of age.
Physical Requirements:
- Physical ability to walk and or stand on your feet throughout a normal workday required. Ability to bend and squat.
- Physical ability to engage in repetitive motions of legs, arms, and hands and to hear and see clearly.
- Physical ability to push up to 150lbs and to carry up to 50lbs regularly and independently throughout a regular workday required.
- Allergic conditions, which may be aggravated when handling or working with animals, may be a disqualification.
Working conditions:
Conditions may include working alone, working inside or outside during varying weather conditions, frequent interruptions, and some evenings/weekends meetings and classes.
Educational Requirements:
High school graduation required.
