Job description

The Cape Cod & Islands Community Mental Health Center, operated by the Department of Mental Health, is seeking to fill an Administrative Clerk position (Clerk III) at their DMH Cape Cod and Islands Site Office, in Hyannis. This position assists with common office processes, including filing, handling mail, and directing telephone calls. The incumbent to this position will need accurate and efficient typing skills for data entry, taking minutes and dictations, answering emails, typing letters, and tracking medical records. Organization skills and experience multitasking to complete several clerical and administrative tasks at once are a plus, but not required.
Please Note: This position is 37.5 hours per week. The selected candidate will work 1st shift from 8:00am to 4:00pm. The days off are Sunday and Saturday. The primary location for this position will be the Cape Cod and Islands Site Office in Hyannis but travel to the Cape Cod and Islands Community Mental Health Center in Pocasset may be required, based on need.
Duties and Responsibilities (these duties and responsibilities are not all inclusive):

  • Answer the main phone line to take messages or redirect calls to appropriate colleagues.
  • Compose accurately typed letters and correspondence memos, design forms, reports, envelopes, labels, etc.
  • Sort and distribute incoming mail and prepare outgoing mail using postage machine equipment.
  • Utilize office equipment such as photocopier, printers etc. and computers for word processing, spreadsheet creation, etc.
  • Assist with data entry in spreadsheets for use with tracking and reporting data.
  • Record and type meeting minutes for various center-wide committees and staff meetings in a timely manner.
  • Monitor inventory of office supplies and report when there are shortages.
  • Maintain medical records to ensure that records are updated, accurate and easily accessible, according to agency policies and procedures.
  • Provide clerical support to administrative department to include typing, preparation of reports and presentations, and filing of materials as needed.
  • Exercise integrity and discretion when working with sensitive employee and client information.

Required Qualifications:
  • Knowledge of the English language including spelling, word meaning and word usage.
  • Ability to understand and apply the laws, rules, policies, and procedures governing assigned unit activities.
  • Ability to read, writes, and comprehends the English language.
  • Ability to use proper grammar, punctuation, and spelling.
  • Ability to follow written and oral instructions.

Preferred Qualifications:
  • Experience working in a hospital/healthcare environment.

The CC&I CMHC provides comprehensive services to adults and children. Programs include a 16-bed acute in-patient unit, Case Management, Day Treatment Program, and Adult Community Clinical Services (ACCS). The CC&I CMHC is a Joint Commission certified facility. Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
