GENERAL STATEMENT OF DUTIES
Provides administrative support in New Horizons Adult Education/ Apprenticeship Program. Duties include providing administrative support to the program and the program administrator, ensuring smooth and efficient operation of function to which assigned, applying knowledge of NHREC operations, procedures, and judgment in establishing or adapting work procedures to new situations. Assignments are usually received in the form of verbal requests, general outlines, and written procedures.
ESSENTIAL FUNCTIONS
- Provides daily administrative secretarial support to CFAAT administrator and specialist.
- Plans, initiates, and carries to completion program or section administrative secretarial support activities.
- Develops, monitors and modifies office procedures, and organizes office projects and processes.
- Screens supervisor’s telephone calls and mail.
- Responds to telephone inquiries, greets visitors and schedules appointments.
- Responsible for maintaining the office calendar; to include assisting with travel and career/job fair arrangements.
- Responsible for composing routine correspondence, newsletters and other school/office communications.
- Organizes program materials, prepares invitations and special mailings, guides, manuals, and training materials.
- Responsible for maintaining accurate filing systems, student records, test data.
- Serves as a resource for teachers, classified, and administrative staff in the use of office software.
- Performs other duties as assigned.
- Good knowledge of business office procedures, practices and equipment, business English and office terminology.
- Good knowledge of, or ability to quickly learn procedures, assigned tasks of the CFAAT office.
- Ability to deal with fellow employees, school-based staff and the public tactfully and courteously and to work harmoniously with other employees.
Education and Experience
Requires a high school diploma and 3-4 years of related administrative support experience or an equivalent combination of education and experience. An Associate’s Degree and at least two years of customer service experience is preferred.
LICENSE/CERTIFICATION
Valid Virginia Drivers License is required.
This schedule for this position is Monday thru Thursdays 9:00am to 7:00pm.
