Job Description

To handle all administrative duties as required by Executive Office. Supports the Executive Operating Committee.

Assists the Hotel's Division Heads in completing critical support tasks. Utilize professional communication strategies to update social media and marketing campaigns, direct or respond to incoming contacts, maintain hotel media and literature, and provide administrative support to the Food & Beverage division including ordering.   

Responsibilities
  • Review comments left on social media and respond as necessary.
  • Coordinate all Hotel's printing projects, such as menus, QR codes, brochure materials, posters, ads, direct mail pieces, invitations, promotional items, etc.
  • Respond to all Corporate Marketing and media requests.
  • Answers incoming telephone calls to the Executive Offices. 
  • Responds to telephone inquiries by determining caller's needs and specifications.
  • Replies to requests for gift certificates, room reservations and donations.
  • Submit purchase orders as necessary through Birchstreet software platform
  • Schedules maintenance for Executive Office equipment.
  • Take and distribute minutes for the staff meetings.
  • Ensure hotel activity and associate accomplishments are brought to the attention of the corporate offices and mentioned in company publications.
  • Ensure that listings in directories and magazines are accurate and current.
  • Maintain boiler plate and fact sheet.
  • Coordinate all special events in hotel.
  • Complete VIP welcome cards and amenity requests as needed
  • Prepare PowerPoint presentations and action plans for department heads as needed.
  • Follows up on all Medallia comments and answers them on behalf of the General Manager.
  • Complete special projects and other duties as assigned by Executive team.
  • Sorts incoming and outgoing mail.
  • Maintains associate communication with regards of MOD (Manager on Duty) schedule and Lobby Schedule.
  • Assist with sourcing products and vendors
  • Perform other duties as assigned by management.
Qualifications
  • Minimum of 1 year experience working in hotels in an administrative role.
  • Education - Associate Degree
  • Excellent written and verbal communication skills.
  • Ability to maintain strict confidentiality
  • Bachelor's Degree preferred preferably in communication or marketing.
  • Must be a self-starting team player that contributes positive energy. 
  • Strong work ethic, interpersonal skills and the ability to work in a team-oriented environment. 
  • Ability to manage multiple priorities and reprioritize when necessary. 
  • Developed computer proficiencies, to include Microsoft Excel, Word, Publisher, PowerPoint and Outlook. Graphic design skills preferred.
  • Proficient in social media technology and reporting. 
  • Must be able to work nights and weekends as needed for promotional events.
  • Position requires up to 5% travel.

* Pay: $22.80 - $24.00 per hour. The pay scale provided is a range that Omni Hotels & Resorts reasonably expects to pay. Actual compensation offered may fluctuate based on a candidate's qualifications and/or experience.
