Description:
- Receives telephone calls and visitors to the Office. Controls access to the Office and ensures that only visitors properly cleared are authorized entry. Notifies staff members of visitors or incoming telephone calls. Takes messages from and gives messages to visitors and callers when staff members are unavailable.
- Responds to inquiries, providing general information regarding office programs. Advises caller or visitor to contact the appropriate Federal, State, or local agencies concerning matters outside the USAO's purview and furnishes the needed address or telephone number when available.
- Explaining applicable security rules, regulations, and procedures regarding visitors to employees, managers, and visitors. Issuing visitor badges and passes, ensuring each visitor has the required access or escorts for the area they are entering.
- Composing letters, endorsements, memoranda, and electronic correspondence from records or files maintained. Composing other posts from brief oral or written notes, arranging form and continuity of thought. Receives and reviews incoming mail and determines whether appropriate to call to the attention of a supervisor, to redirect to other organizational entities, or to handle personally by presenting a response in final form.
- Prepares various recurring and special reports, compiling data and obtaining the required information, advising internal and external stakeholders on all procedural and administrative functions related to reports.
- Receives, reviews, and distributes incoming mail, including service of process. Maintains miscellaneous numerical/alpha files so that correspondence checks can be made for unfamiliar material received. Checks mail and annotates accordingly, e.g., attorney assigned, case number, etc. Ensures mail received from other agencies is appropriately screened and distributed. Immediately notifies the appropriate staff member when the material is received via FAX transmission and placed in the appropriate internal mailbox.
- Duties will increase as training progresses
Requirements:
- High School diploma, bachelor's Degree preferred
- Ability to review and analyze data and information from multiple sources
- Ability to establish case/project files
- Ability to enter and retrieve data from data bases
- Ability to prepare and format management reports
- Ability to manipulate, transfer, and compute and print information
- Ability to create and manipulate spreadsheets
- Ability to prepare and correct reports and correspondence using word processing software
