The Administrative Assistant III position exists to provide editorial and administrative support for a department or function(s) by performing diversified tasks utilizing a thorough working knowledge of the policies and procedures of the particular function/department assigned; to define work priorities and be responsible for organizing routine activities; to solve daily work problems, referring only unusual cases to the supervisor.
Essential Duties/Responsibilities:

  • Assists and relieves supervisor(s) of a variety of administrative duties by specific or general authorization; utilizes independent judgment, determining when to act for supervisor and when to refer problems for personal attention
  • Works with the Legal department to resolve any issues on stories and author requirements (i.e. third-party rights, reprint rights, special usage, etc.)
  • Prepares purchase orders for freelance writing, photography, illustration and miscellaneous needs, logging and tracking the documents until completion
  • Coordinates author relations with freelance writers, mails contracts, maintains correspondence and mails complimentary magazines
  • Opens, sorts, and reviews incoming e-mails and letters from readers, responding to some and passing others on to the editors or relationship services
  • Coordinates special contests, requests and submissions
  • Creates and maintains special files (paper and electronic) and archives of the magazine
  • Maintains and updates magazine asset database, including all art and editorial files
  • Establishes and maintains statistical data on the magazine and website
  • Serves as backup for magazine social media and website efforts
  • Obtains information through research of historical files and reference documents
  • Prepares, maintains, and updates procedures for self and other clerical personnel
  • Checks own work for errors and discrepancies; may assist other personnel in resolving errors

Other Duties/Responsibilities:
  • Prepares and types various correspondence
  • Receives and directs visitors
  • Answers phone calls providing detailed information and/or assistance as necessary
  • Performs other duties as assigned

Working Environment/Physical Requirements:
  • Office environment, may require periodical travel
  • This role may require occasional travel including nights and weekends
  • Occasional light box lifting

JOB QUALIFICATIONS/REQUIREMENTS
Character/Spiritual:
Exemplifies Ephesians 5:1-2, "Therefore be imitators of God as dear children and walk in love, as Christ also has loved us and given Himself for us..."
Pursues the Great Commission given by Jesus Christ in Matthew 28:19-20, "Go therefore and make disciples of all the nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all things that I have commanded you; and lo, I am with you always, even to the end of the age."
Is a consistent witness for Jesus Christ; maintains a courteous, Christ-like attitude in dealing with people within and outside of Focus; adheres to the Standard of Moral Conduct and Statement of Faith; upholds Focus on the Family's ministry in prayer
Prays personally for Focus on the Family's staff and constituents and may occasionally lead in a public prayer

This role is considered a Spokesperson for Focus on the Family and should represent Focus' position and tone at all times
Personal Characteristics:
  • Team spirit, servant heart

Knowledge/Experience:
  • High School or equivalent plus one year of college including business classes
  • Communications or journalism experience strongly preferred
  • 1 - 3 years general office experience

Skills, Abilities, and Special Talents/Gifts:
  • Ability to communicate effectively (verbal and written)
  • Good analytical skills to extract data and draw conclusions
  • Ability to establish and maintain rapport with co-workers as well as FOF Managers and FOF constituents and/or donors
  • Type 55 wpm
  • Competent in use of software (MS Word, Excel, etc.)

Pay Range: $17.00 to $19.75/hr
