Primary responsibilities include supporting the management team, maintaining calendars, scheduling meetings/appointments, arranging domestic and international travel, preparing expense reports, maintaining communication with, and providing information to internal and external stakeholders; and organizing and preparing monthly/quarterly presentations. Other duties may be assigned as needed, including event planning and project management.
RESPONSIBILITIES:
- Maintain calendars, schedule meetings and appointments.
- Arrange domestic and international travel, including preparation of international travel documents/itineraries, if necessary, and in accordance with the company's current Travel Policy and Procedures.
- Coordinate details of on- and off-site department and team meetings and other events. Manage catering needs for appropriate functions.
- Review reports, slide decks, communications, and check against project deadlines.
- Prepare expense reports for Leadership Team utilizing the company's electronic expense report program, Concur.
- Compose, copy, and distribute routine correspondence and memoranda, reports, documents, and assist in the preparation of department/corporate presentations by compiling and preparing materials as needed.
- Set up, organize, automate, and maintain correspondence files and other departmental records so that they are easily retrievable.
- Receive visitors at the front desk.
- Retrieve, sort, and deliver mail to departments and individual recipients.
- Assist with replenishing and maintaining break stations, ordering, and distributing office supplies.
- Create processes and procedures to streamline work.
- Adhere to all company policies, procedures and business ethics codes while focusing on safety and best practices.
- Perform other duties as assigned.
QUALIFICATIONS:
- Minimum of three (3) to five (5) years of administrative support experience with duties having included administrative and clerical procedures.
- Strong proficiency with MS Office Suite programs (MS Word, Excel, PowerPoint, and Outlook)
- Experience with databases and maintaining on-line shared systems.
- Is dependable, detail-oriented and organized.
- Has operated in a dual reporting structure.
- Performs in a professional manner and maintains competency and a positive attitude in a fast-paced work environment. Works well under pressure.
- Possesses the ability to handle a multitude of projects simultaneously, including independent projects, and conflicting priorities as necessary.
- Can interface smoothly and effectively with all levels of stakeholders. Can build rapport with other associates to support and increase interdepartmental cooperation.
- Has excellent written and verbal communication skills and is highly skilled and experienced in using discretion regarding confidential matters.
