JOB SUMMARY:
The Administrative Assistant for Boyce Student Life will oversee Student Life programs, activities, and housing while providing administrative and logistical assistance to every staff member in the Student Life office.
ESSENTIAL JOB FUNCTIONS:
The employee in this position will have the following essential job functions:
General Administration
- Answer phones and manage email accounts
- Participate in weekly staff meetings to plan, assess, monitor, and evaluate Student Life programs and processes
- Assist in preparing and sending the weekly Boyce Life email
- Assist with the writing and editing of manuals, handbooks, and forms
- Organize forms and records (print and electronic)
- Manage calendars and scheduling for staff and department
- Administer, manage, and keep accurate records of expenses and reimbursements
- Assist in preparing the annual department budget
- Receive and process marketing and other print shop jobs and projects
- Prepare and process new hires on the Boyce Student Life team
- Maintain confidentiality between students, staff and families
- Connect students and families with various resources on campus
- Enter student charges for resident life fines and activity charges
- Keep and inform students of various Student Life policies as needed
- Keep offices stocked with appropriate office supplies and materials for efficient work flow, and manage office organization
- Manage Sampey Commons calendar reservations, cleanliness, and order
Boyce Student Housing
- Administer all Housing communications with students, various campus departments, and online interactions
- Oversee the Housing application process under the supervision of the Assistant Director
- Assist in administrative tasks associated with placing students in health-related temporary housing
Residence Life
- Assist the Residence Life team in training RAs and ARAs
- Assist Student Life team with on-boarding new students (Orientation etc.)
- Invest in students relationally throughout the work day
Perform other duties as may be assigned by the supervisor.
EDUCATION:
The person in this position should have a bachelor's degree.
EXPERIENCE:
The person in this position should have strong skills in administration, organization, logistics, writing/editing, project management, and interpersonal assistance. Experience as administrative assistant is preferred, and enthusiasm for college student ministry is a must.
