The Administrative Assistant is responsible for performing a wide variety of administrative tasks that promote efficiency in the daily operations of the office. Administrative Assistant Position Defined:
The Administrative Assistant provides office support to two or more department managers. and responsible for establishing a professional "first contact" for people entering the office. The Administrative Assistant is also responsible for the clerical and administrative duties to help the organization run more successfully as well as oversees vendor relations and ordering of office and business supplies.
Duties/Responsibilities:

- Manages day-to-day office operations, perform front office and receptionist duties, answer, and transfer phone calls, greets and directs clients and visitors.
- Coordinates and schedules travel, meetings, and appointments for upper management.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Performs bookkeeping functions relating to expense reconciliation, accounts payable and accounts receivable.
- Conducts reconciliation of agency credit accounts in accordance with applicable standards.
- Functions as a backup to Client Services department by maintaining accurate documentation of service objectives and tasks by Federal, State, County, and agency guidelines.
- Maintains office supplies and facility inventory coordinating with facility maintenance.
- Manage and oversee work order and maintenance program and inventory.
- Attends workshops to expand skills, learn more about the job, and discover industry-specific knowledge.
- Assist with the management of the agency fundraising platform (Network for Good).
- Manages agency inquiries and feedback to help maintain effective community relations.
Requirements
Required Skills/Abilities:
- Proficient in QuickBooks and Microsoft 365.
- Detail-oriented with high-level accuracy.
- Excellent organizational and time management skills.
- Must be proactive and self-motivated.
- Ability to work well with all levels of staff and vendors.
- Strong verbal and written communication skills.
- Must be able to represent KYS in a positive manner within the community.
- Must have the ability to work independently as well as collaboratively and adapt to changing priorities.
- Must be at least 21 years of age and possess a valid driver's license and an acceptable driving record.
Education and Experience:
- Associate degree in business, accounting, finance, or related field.
- Experience with accounts payable and accounts receivable, preferred.
- Two to five years of experience working in an office setting is required.
- Preferred Current QuickBooks Online Certification a plus.
Ohio Administrative Code Requirements:
- Must pass BCI criminal record check.
- Must pass FBI criminal record check.
- Must pass Ohio SACWIS Alleged Perpetrator of Child Abuse/Neglect Search as well as Alleged Perpetrator Search of any other state resided in within the past five years.
- Must pass the United States Department of Justice Sex Offender Search.
Employment Type Full-Time, Non-Exempt
Pay: $22.00 - $32.00 per hour
Expected hours: 40 hours/per week.
