This position performs high level administrative support to assist Valley Senior Services Director, Managers, and staff as needed. This position performs a wide variety of assignments involving clerical support and administrative functions of Valley Senior Services. ESSENTIAL FUNCTIONS: Evaluation of this position is based primarily on performance of the following essential functions, which include, but are not limited to: Provide clerical and administrative support by producing, filing, and retrieving correspondence for the administrators and other staff as requested.
Composes letters, forms, memoranda, and reports from abbreviated notes and records; transcribes and/or take minutes for meetings, including VSS inc. board meetings; maintains the electronic and paper office filing system. Reviews and proofreads documents.
Maintains and prepares complex forms, listings, informational, and statistical reports. Compares information to verify accuracy. Assist with good public relations by dealing with the public and peers in a courteous and professional manner.
Handles a multi-line phone system. Orders and maintains supplies for Valley Senior Services, Ed Clapp location. Manages the HCBS billing process.
Assist with VSS events (Volunteer Banquet, Giving Hearts Day, Secret Santa) Manage the info@valleyseniors.org email domain. OTHER FUNCTIONS: Evaluation of this position may also be based on performance of the following other functions, which include, but are not limited to: Keeps direct supervisor promptly informed of key/significant issues or concerns. Carries out duties and responsibilities in a safe and efficient manner to maintain a safe work environment and surrounding area for oneself, co-workers and public.
Responds to hazardous situations and/or potentially unsafe conditions by taking corrective action as capable and promptly notifying supervisory personnel. Updates and enhances own knowledge by involvement in continuing education for professional growth, i.e., attends relevant conferences, seminars, in-service trainings, and certification programs. Performs related duties as assigned or apparent.
Distribute daily mail and be responsible for the postage machine and postage needs. Maintain donation spreadsheet. Work closely on Donor Dock data entry and managing accounts.
Prepare monthly Meals on Wheels donation reminders in Cass County Manage the VSS rental calendar. Assist with formatting and distribute monthly activity calendars in Cass County.
