Administrative Assistant
Davis Development Group is a second-generation developer of commercial and industrial properties in Northeast Ohio. We provide management services for our properties as well as construction services for our developments and select clients. Over our 60-year history we have established and maintained a reputation for financial soundness, high quality properties and fairness in all we do.
As a key member of our team, you will be the first person someone speaks with or sees when they visit. Representing yourself and the company in a professional and polite manner is essential, as is being attentive to our tenants, clients and contractors.
RESPONSIBILITIES INLCUDE:
- Accurately manage property files, both paper and digital, relating to leases and operating expenses.
- Collaborate with the accounting department on invoice approval, utility bills, and other expenses associated with the operation of the properties.
- Assist with creating management reports and presentations, arranging client meetings, and responding to requests for information on property inquiries.
- Create and maintain property rent rolls to reflect current tenants, rents, and expiration dates.
- Assist the Asset Manager with responding to tenant questions, scheduling work orders, correspondence, invoicing, annual property operating budgets, etc. Follow up with clients when work is completed, assuring timely and high-quality work.
- Work with the construction team in assembling bids and budgets and preparing purchase orders.
- Organize project related files for paid bills, lien waivers, required licenses, and insurance requirements.
- Participate in maximizing computer technology, property management programs, Microsoft Office 365, and others.
- Monitor and order supplies.
QUALIFICATIONS:
- Prior real estate administrative experience is preferred.
- Good at problem solving.
- Clear and articulate communication on all levels.
- Computer proficiency in software applications and excellent keyboarding skills.
- High level of organization skills and solid attention to detail.
- Desire and ability to be proactive and create a positive experience for others.
- Appreciation for confidential information and the ability to handle the company's business with discretion.
- Desire to learn new things - high level of curiosity.
- Punctual and reliable with a high level of integrity.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
