POSITION SUMMARY:
The Administrative Assistant is primarily responsible for all components related to maintaining the daily operation of Independent Printing’s front office reception area. This includes using a multi-lined telephone to answer all incoming phone calls, providing assistance to callers by answering inquires and/or routing callers to the appropriate individual or department as needed, welcoming and assisting all office visitors in a courteous and professional manner, and providing general assistance to employees as necessary while maintaining a professional and organized reception area.
DUTIES AND RESPONSIBILITIES:
· Representing Independent Printing Company in a professional, respectful and courteous manner.
· Providing assistance to all callers by answering questions and/or routing them to the appropriate individual and/or department.
· Greeting all office visitors, alerting appropriate staff members of visitor arrivals.
· Routing of all company faxes to the appropriate individuals and/or departments.
· Establishing and maintaining training materials and standard operating procedures for various processes within reception area.
· Staying abreast of changes or updates to phone and voicemail systems.
· Consistently identifying continuous improvement opportunities within designated work area, providing suggestions to leadership, and assisting with creating and launching initiatives.
· Maintain office supplies and marketing collateral in the Facility Services room.
· Performing miscellaneous filing tasks.
· Maintaining company vacation list and distribute weekly.
· Maintains conference room schedules and posts schedules daily outside each room.
· Provide miscellaneous administrative/clerical support as necessary to the various departments within the organization.
· Support Human Resources by receiving, documenting, and communicating employee call in’s/absences, as well as announcing employee birthdays and anniversaries.
· Knowledgeable of and promotes safety and security procedures, including company specific security, along with Fire, Tornado, and other weather related protocol.
· Collaborates with Switchboard Team to ensure the reception area is not left unattended (unless within range to answer incoming calls and greet company visitors) and has designated coverage at all times for unexpected illness /other unexpected circumstances, company meetings, development plans, etc.
· Updates and maintains company documents such as the employee extension/phone number list and the company equipment list.
REQUIREMENTS:
· Excellent customer service skills
· Strong organizational skills and high attention to detail
· The ability to effectively communicate- both in written and verbal format
· High level of proficiency using MS Office Suites: to include Excel & Word
· Investment in continuous improvement- with proven success streamlining processes and/or creating efficiencies
· Proven success solving problems and creating solutions for complex issues
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 per week
