Administrative Assistant
The United Way of Licking County seeks a detail-oriented individual to provide part-time (20 hours) administrative support to the Executive Director and staff. The ideal candidate will possess excellent written and verbal communication skills and have a solid knowledge of business operations. They will be comfortable working independently to accomplish goals.
Principal Duties and Responsibilities:
- Provide administrative support to Executive Director by reviewing calendar, scheduling meetings and activities (both internal and external), making reservations, preparing required correspondence, assisting with special projects, and maintaining records as directed including general filing and all job-related requests.
- Coordinate preparation and documentation for Executive Committee and Board of Directors meetings.
- Provide administrative support to the Executive Committee and Board of Directors by preparing documents for both meetings and for the Annual meeting, sending required and timely notification of meetings including agendas, meeting minutes and other required documents to members, taking and transcribing meeting minutes, and sending special meeting notices.
- Accurately maintain the Executive Committee and Board of Directors documents including meeting attendance records, meeting minutes and associated reports.
- Provide administrative support for all other committees of the board, or as assigned by the Executive Director, by preparing documents for meetings, sending required and timely notification of meetings including agendas, meeting minutes and other required documents to members, taking and transcribing meeting minutes, and sending special meeting notices.
Other Administrative Support:
- Provide support to all staff with reference to meeting preparation i.e., copying meeting documents, scheduling, setting up meeting room, preparing correspondence and other related administrative duties.
- Provide administrative support for campaign efforts including Campaign Cabinet meetings and special events.
- Actively participate as a team player in support of staff, volunteers, community, and programs.
- Greet volunteers, community members, and other office visitors in a friendly and hospitable manner.
- Open and distribute mail, maintaining confidentiality as required.
- Answers telephone and appropriately directs calls and/or takes accurate messages.
- Maintain Board room calendar as it relates to meetings for Executive Committee, Board of Directors and other meetings as requested.
- Maintain office supply inventory and place orders as needed.
- Maintain the office filing system.
- Process payroll.
- Is the liaison with office equipment vendors.
Minimum/Required Education and Experience:
- High school diploma or equivalent required.
- Minimum of three (3) years experience with demonstration of effectively and efficiently handling multiple office duties.
- Proficient with Microsoft Office.
- Willingness to learn donor management and grant management software systems.
- Effective customer service skills with both internal and external customers.
- Ability to maintain a professional demeanor, demonstrate tact and discretion when working with volunteers, staff, and community partners from diverse backgrounds.
- Demonstrate ability to process and handle confidential information.
- Effective verbal and written communication skills.
- Detail oriented with proven organizational skills.
- Ability to work in a team focused environment.

- Availability to work a flexible schedule including evenings and weekends.
- Valid Ohio driver’s license.
Preferred Education and Experience:
- Five (5)-plus years' experience in a related field.

Compensation (Hourly – Non-Exempt): $18.00 - $20.00 per hour
