Position Overview:
SmartyPants is looking for a motivated, dedicated, and detail-oriented individual to provide support to the Chief Operating Officer and Chief Revenue Officer. This position has responsibilities across office operation, culture enhancement and a range of administrative tasks. This position is ideal for someone who can work independently with little supervision, be highly proactive and manage a fast-paced environment with shifting priorities.
The Administrative & Operations Coordinator reports directly to the COO with additional support and direction from the VP People + Culture. Opportunities for new experiences to demonstrate leadership and growth are limitless.
Administrative
- Lead coordination of In-Office Days including establishing daily agenda, facilitating lunch, and providing general ad-hoc support
- Assist in coordination of special events, conferences, and other projects as needed.
- Assist in coordinating travel and hotel accommodations for LT and provide general travel support to broader organization.
- Open, review, record, and distribute or organize mail. Receive and distribute packages and product samples.
- Maintain various files and records.
- Lead management and cascading of the SmartyPants Master calendar.
- Own Executive budget, ensuring responsible deployment of company funds and timely processing of expenses.
- Provide general executive support to COO and CRO, including performing special projects as assigned.
Culture & Internal/Corporate Comms
- Lead Company Offsite planning initiatives including site selection, meal/activity planning, logistics and budget.
- Lead end to end coordination of Monthly Rallies and Family Lunch (planning to execution)
- Serve as Culture champion and model practitioner of core company value: Smart, Simple, True.
- Partner with the Culture + Business Partner to provide feedback, support and guidance as needed.
- Assist in onboarding new hires, including preparing welcome kits and leading portions of New Hire Orientation
- Partner with IT on development and implementation of new processes and technology
- Helps drafting and/or assisting dissemination of communication of Staff All notices.
- Play lead role in driving internal branding of SmartyPants, including owning templates, email signatures, profile pictures, company swag.
- Manage aspects of company LinkedIn profile.
- Distribute free products to employees and/or donations to other non-profit organizations.
What You Have:
- 5+ years of administrative or assistant experience
- Bachelor’s degree required and or relevant job experience
- Ability to treat confidential information with appropriate discretion
- Ability to execute tasks and assignments with general to little supervision
- Excellent organization and time management skills
- Problem solving and decision-making skills
- Strong written and verbal communication skills
- Proactivity, always thinking one step ahead and you are a self-starter
- Excellent interpersonal skills: ability to interact with all personality types and behaviors; flexibility

- The pay range for this position is $27.40 to $33.65. SmartyPants Vitamins takes into consideration a wide range of factors that are utilized in making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, qualifications and education, and other business and organizational needs. This position is bonus eligible. SmartyPants Vitamins employees are eligible to participate in our benefits plan. Should the employee choose to participate, they can choose from a range of benefits to include, but is not limited to, health insurance, retirement savings benefits, life insurance and disability benefits, parental leave, sick leave, paid vacation and holidays.
