ANNOUNCEMENT OF POSITION VACANCY
SUMMARY: Under direct supervision, this position is responsible for a wide range of administrative tasks and facilitates the execution of programming within the Downtown Pomona Innovation STEAM Hub (hereafter referred to as The Hub).
SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):
- Under the direction of the director, perform administrative support to the Hub which includes both evening and weekend programming.
- At times, work independently to make decisions and take action with only general supervision due to the fact that the Hub is located off campus.
- Manage the budget of the Hub as well as prepare and track purchases of equipment, consumables, services, and other expenditures related to the Hub programming.
- Develop and maintain a schedule for the Hub to accurately track all the activities taking place within the Hub space.
- Coordinate patrons of the Hub including those offering programming and those participating in the programming offered by the Hub.
- Coordinate the advisory board meetings including scheduling and setting the agenda with guidance from the director.
- Coordinate outreach efforts by seeking out and coordinating meetings with community partners.
- Complete annual reporting, along with the director, for the grant funding agency.
- Support patrons of the Hub who use the space as their temporary office.
- Travel to meet with industry partners within the innovation/startup community.
- In collaboration with the director, develop and execute a marketing plan for the Hub and for programming taking place in the Hub.
- Develop and manage the website and social media handles of the Hub.
- Ability to adhere to a regular work schedule, which will include evenings, weekends and hours that are outside of 8am-5pm hours.
- ADMINISTRATIVE RESPONSIBILITIES: Work with the director to complete hire paperwork for student assistants who will support the Hub programing and operations. Lead the work of student assistants and train them on appropriate compliance and specific guidelines related to the Hub. Refer complaints and problems to the faculty director.
MINIMUM QUALIFICATIONS:
- Associate Degree or equivalent.
- Two years' experience in a dynamic office setting with experience managing or tracking many data variables (budgets, schedules, policies, regulations).
- Experience managing a budget, being or supporting an office manager, or regulatory compliance preferred.
- Strong verbal and non-verbal communication skills.
- Ability to converse in both English and Spanish (preferred)
- Ability to interact with a diverse population.
- Ability to complete assignments without detailed instructions.
- Ability to establish and maintain cooperative working relationships with a variety of individuals both inside and outside the CPP community.
- Demonstrated ability to multitask, initiate, and follow through with varied projects.
