The Team and Job Summary

We are seeking an Administrative Assistant to join our Accident Reconstruction team. This is a unique opportunity for a highly driven person with a well-rounded skill set to join the Accident Reconstruction team, whose responsibilities extend beyond those of traditional Administrative Assistant. The ideal person for this role will need to not only have a strong grasp of administrative functions but also be flexible and a strategic thinker able to take on a variety of tasks.


Job Responsibilities

  • Arranging/coordinating travel plans, plan events and agendas for individuals and/or small teams.
  • Handles requests and performs administrative support to small teams and/or leadership.
  • Prepare and submit expense reports.
  • Data entry – updating the current database.
  • Manage meeting and inspections calendar for executive team on Outlook.
  • Schedule and arrange meetings, special events, etc.
  • Plan and coordinate conferences and department activities.
  • Back up reception/answering calls, taking messages and transferring phone calls.
  • Support special projects.
  • Assist with any other tasks assigned by Office Coordinator and the executives.
  • Assist with reports, estimates, PowerPoint presentations, and file production.
  • Support with internal communications; writing talking points, editing.
  • Arrange and organize meetings.
  • Plan and coordinate conferences.

Required Qualifications

  • Previous experience in office administration or other related fields; preferably supporting senior management in large organizations
  • Ability to prioritize and multitask
  • Legal background a plus
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Microsoft Office required. Must be Excel, Word, and PowerPoint proficient and have the ability to embrace new technology.
  • Demonstrate job stability.
