Job Description
The administrative assistant provides day to day support to office staff, and will perform routine clerical and administrative functions such as drafting correspondence, maintaining a company calendar, filing, and maintaining both paper and electronic files. May also perform lite general bookkeeping data entry.
Essential Duties and Responsibilities:
To perform the job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and ability required.
1. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
2. Greet visitors and handle their inquiries.
3. Operate office equipment, such as copiers, computers, video conferencing or phone systems and arrange for repairs as needed.
4. May search files, databases, or reference materials to obtain needed information.
5. Run company errands from time to time.
6. Maintain inventory of office, kitchen, bathroom, and cleaning supplies.
7. Keep common areas free from clutter and conference tables/counters wiped down.
8. Assist Team Leaders by completing assigned tasks or projects.
9. Write and distribute email, correspondence memos, and letters for senior management.
10. Accounts payable data entry.
Qualifications
• 5-7 years similar experience
• Minimum high school diploma
• Must have valid California driver’s license
• Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
• Proficiency in Microsoft Office Word and Excel
• Some experience with QuickBooks or other related accounting software
• Organized with attention to detail and accuracy
• Strong written and verbal communication skills – bilingual preferred (English/Spanish)
