Description:
Responsible for entry and payment of Cooperative Accounts Payable.
Requirements:
Education and/or Experience:
o 5 years of experience in a business accounting department or 2 years of college education in accounting or a business related major.
Required Knowledge:
o Knowledge of Microsoft Office computer application.
o Ability to learn accounting software.
o Intermediate knowledge of accounting.
Skills/Abilities:
o Good typing skills.
o Attentive to detail and accurate.
o Well organized.
o Cooperative and willing to assist others.
o Able to use computer applications, office equipment, and telephone.
Language Skills:
o Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
o Ability to write routine reports and correspondence.
o Ability to speak effectively before groups of customers or employees of the organization.
Mathematical Skills:
o Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
o Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
o Ability to solve practical problems with a variety of concrete variables in situations where only limited standardization exists.
o Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

WORKING CONDITIONS:
o Typical office environment.

Additional Info:
ESSENTIAL FUNCTIONS AND BASIC DUTIES:
o Assures timely payment of all Accounts Payable invoices.
o Reviews all invoices for appropriate documentation and approval prior to payment.
o Enters/verifies invoices in the Accounting system.
o Prints and obtains signatures on all Accounts Payable checks.
o Distributes signed checks as required.
o Answers all vendor inquiries.
o Maintains all Accounts Payable reports, spreadsheets and corporate account payable files.
o Maintains the company Purchase Order System.
o Issues Purchase Order numbers and maintains log.
o Verifies that incoming invoices have PO numbers.
o Informs employees and vendors of PO requirements.
o Responsible for Petty Cash fund.
o Issues reimbursements and balances fund as needed.
o Assist with internal audits and Accounts Payable sub-ledger closing.
o Prepares Accounts Payable files for audit review.
o Participate in annual internal sales tax audit.
o Monitor consumer use tax and enter in correct GL account.
o Assist with month-end and year-end closing by researching any out-of-balance accounts in the Accounts Payable sub-ledger.
o Submit the monthly Inventory Report to Property Insurance Company.
o Guest Receptionist-Upstairs Level
o Answers the phone in a friendly and professional manner.
o Work with the office staff, employees, vendors and customers in a friendly and professional manner.
o Staff location monitor and responsible for staff message and fax allocation.
o Responsible for mail posting, pick-up and delivery.
o Assumes responsibility for related duties as required or assigned
o Maintains strict confidentiality.
o Ensures that work area is clean, secure and well maintained.
o Completes special projects and assignments as required.
o Cooperates with the other office staff members to create a cooperative and professional office.
o Answers the phone in a friendly and professional manner.
o Assists Safety Director with Vehicle Maintenance files.
SUPERVISORY RESPONSIBILITIES: None.
