Position Overview:
The Office Administrator is a multifaceted role and will play a crucial part in supporting the overall administrative and accounting functions of the operation. This position is responsible for the smooth operation and maintenance of the office environment, providing administrative support across various departments, and the primary point of contact for both internal and external stakeholders, as well as the day-to-day Accounts Payable and Accounts Receivable functions. The ideal candidate will have experience in handling AP, AR, and invoicing duties, as well Office Administrative experience in filing, scheduling, and office organization.
Key Responsibilities:
- Office Administration
- Prepare and distribute internal communications, memos, and announcements.
- Assist with the preparation and formatting of documents, presentations, and reports.
- Order and maintain office supplies and equipment.
- Manage incoming and outgoing mail and packages.
- Maintain office filing systems and electronic databases.
- Coordinate visitor appointments, meetings, and conference room bookings.
- Provide administrative support to various departments as required.
- Handle other ad-hoc administrative tasks as assigned.
- Accounting
- Manage Accounts Payable and Accounts Receivable processes, including invoice processing, reconciliation, and vendor/customer correspondence.
- Prepare and process invoices accurately and efficiently, ensuring timely payment and adherence to company policies and procedures.
- Monitor and follow up on outstanding invoices and payments, resolving any discrepancies or issues in a timely manner.
- Maintain accurate and up-to-date financial records, including entering data into accounting software and generating reports as needed.
- Collaborate with internal teams to ensure smooth coordination and communication regarding financial transactions and administrative tasks.
Qualifications:
- Proven experience as an Office Administrator, Office Assistant, or similar role.
- Prior experience in Accounts Payable, Accounts Receivable, and Invoicing is required.
- Proficiency in accounting software (e.g., QuickBooks, Xero), Microsoft Dynamics and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Strong communication and interpersonal skills, with the ability to work well independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- High school diploma or equivalent; additional certification in accounting or Office Administration is a plus.
