Requirements:

• Minimum of a 2-year college degree in Accounting, Business, or a related field. (experience will be counted against lack of years of college at 0.5 per year)
• Proven experience in accounting or billing roles.
• Strong understanding of financial principles and contract review.
• Knowledge of accounting software (QB) and Excel.
• Strong attention to detail and accuracy in data entry.
• Excellent communication and interpersonal skills.
• Ability to work collaboratively with cross-functional teams. Servant leadership style role.
• Prior experience in customer service is a plus.

Responsibilities:

• Billing , Invoicing & Collections:
• Generate accurate and timely invoices for clients based on project contracts and specifications.
• Ensure adherence to billing schedules and contractual agreements.
• Collaborate with project managers to gather project-related information for billing purposes.
• Monitor accounts to identify outstanding debts
• Investigate historical data for each debt or bill
• Find and contact clients to ask about their overdue payments
• Take actions to encourage timely debt payments
• Process payments and refunds
• Update account status records and collection efforts
• Report on collection activity and accounts receivable status

• Customer Reconciliations:
• Conduct regular reconciliations to ensure accuracy between customer records and financial transactions.
• Investigate and resolve discrepancies in billing records promptly.
• Work closely with clients to address and resolve any billing-related concerns.

• Contract Review:
• Review project contracts to ensure billing accuracy and compliance.
• Collaborate with the legal and project management teams to clarify billing terms and conditions.
• Provide insights and recommendations on contract-related financial matters.

• Customer Service:
• Provide exceptional customer service by promptly addressing billing inquiries and concerns.
• Assist clients with billing-related questions, clarifications, and disputes.
• Build and maintain positive relationships with clients to enhance customer satisfaction.

• Data Accuracy and Reporting:
• Maintain a high level of accuracy in billing and financial records.
• Generate reports to analyze billing trends, outstanding payments, and other relevant metrics.
• Collaborate with the finance team to improve processes and systems.

• Documentation and Compliance:
• Ensure compliance with company policies, accounting standards, and industry regulations.
• Maintain organized and detailed documentation for all billing transactions.
• Assist in audits by providing necessary documentation and information.
