Accounting Staff

Title:                Accounting Staff                                
Reports To:     Accounting Manager
Classification:  Non-exempt   
Hours:             Monday – Friday (8:00 – 4:30)                                                          
PRIMARY PURPOSE OF THE JOB:
This position is primarily responsible for performing routine clerical, filing, and data entry for accounting, functional areas of accounts payable, billing, and receivables.
 ESSENTIAL DUTIES:

• Perform administrative, accounts payable, and other accounting duties as necessary.
• Analyze invoices and bills for accuracy.
• Enter invoices and bills. Review payment list and prepare invoices for payment.
• Responsible for the timely and accurate filing of Accounts Payable records.
• Ensure the timely processing of disbursements through check insertion, postage application, and mailing of checks.
• Provide general clerical support to the accounting department.
• Maintain inventory of office supplies and anticipate supply needs.
• Prepare USPS mailings, weigh letters and apply postage. As needed, take packages to be mailed and ensure all mailing supplies are stocked.
• Provide assistance with monthly closing process as needed.
• Expanded duties may include more complex tasks like bank reconciliations, preparatory tax work and research, and various reports for management.
• Conform with and abide by all regulations, policies, work procedures and instructions.

QUALIFICATIONS:

• High school diploma or equivalent; associate degree in accounting or related field is a plus.

• Proficient in Excel, Word, and Outlook

• Strong attention to detail and accuracy.
• Excellent organizational and multitasking abilities.

• Excellent interpersonal, written, and verbal communication skills.

 WORKING CONDITIONS:

• The dress code is business casual with formal business attire as situations dictate.
• Must be able to multi-task regularly and work under pressure of tight time constraints.

PHYSICAL ENVIRONMENT AND REQUIREMENTS:

• Office environment
• Ability to sit at a desk for long periods of time.
• Ability to use computer for long periods of time.
• Ability to lift up to 25 pounds occasionally.
