Responsibilities- Responsible for overseeing day to day processes of procurement, account receivable billings/internal auxiliary, disbursements, and travel. Ensures a sound environment of internal controls and compliance by monitoring and reviewing transactional processes. Interprets and communicate policies to leadership, and staff and provides recommendations in order to support the mission and initiative of the client site while maintaining compliance with university policies and procedures.
- As the Financial Representative for Campus Recreation responsible for accurate tracking, maintenance, and reconciliation of departmental accounts and ledgers. Reviews transactions for adherence to university policy and procedures and implements best business practices. Advises on financial activities by analyzing trends, providing information, and preparing reports, such as internal budgeting spreadsheets, to assist the Business Manager with budget preparation and development.
- Records all cash transactions in accordance with generally accepted accounting principles (GAAP) including daily payments, transfers, journal entries, and other transactions into the department’s operating, holding, and reserve accounts. Obtains and verifies supporting documentation for transactions. Monitors and compares daily cash deposits and monthly reconciliations of the department’s cash journals to the University’s cash accounts. Audits cash collection transactions to ensure that cash collection rules, regulations, and procedures of the University are adhered to and applied. Implements policies to ensure separation of duties and compliance. Utilizes accounting software to record and manage departmental invoicing and sales tax. Prepares monthly sales tax reports.
- Provides procurement and P-card support including the processing of requisitions, purchase orders, P-card purchases, ePRFs, and contract renewals. Proxies p-card transactions and performs the monthly p-card reconciliation's for assigned cards. Ensures transactions are timely and accurately with the appropriate accounting information, description and follow State and University policies and procedures. Makes recommendations at the department level to ensure university fiscal and administrative policies and procedures are maintained.
- Serves as the Travel Coordinator for Campus Recreation. Submits travel authorization requests, expense reports, and reimbursements for Campus Recreation Sport Club Travel. Reviews travel transactions for adherence to university policy and procedures ensuring travel requests serve a University purpose. Assists and trains staff in Concur or acts as a delegate to originate travel requests, expense reports, and expense reimbursements. Works with Travel Services to resolve issues.
- Attends relevant trainings and Financial Rep meetings, ensuring that the department has access to the most up-to-date materials and guidance from the department and university. Assists with year-end closeout procedures including closing entries, inventory audits, and preparing records for subsequent fiscal years. Performs other duties that support the mission of Campus Recreation and the Division of Student Affairs as assigned.
Bachelor's degree and two years of experience or a combination of post high school education and experience equal to six years. (Note: post-high school education can substitute for experience at the equivalent rate.)
Preferred QualificationsKnowledge of accounting principles, budgeting practices, and report preparation.
The ability to track, maintain, and reconcile accounts, and ledgers.
Ability to interpret and communicate policies.
Ability to process cash and card transactions, including POs, requisitions, purchases, ePRFs, and contract renewals.
