Accounting Specialist

PURPOSE

This position is responsible for processing all vendor invoices, maintaining payable files, cost accounting, monthly closing, and general accounting activities, including fixed assets. This position will exercise professional judgment and will have the ability to deliver results in a rewarding work environment. This position will report to the Accounting Manager and will have the following responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Process Accounts Payable
• Process weekly vendor payments including checks and ACH/wires including direct and ongoing vendor communication regarding status.
• Opening and distributing company mail
• Invoice entry & PO Matching
• Travel & Expense processing.
• Manage Purchasing Card and American Express transaction reporting.
• Process Credit Card transactions, payments & related journal entries.
• Scan invoices and other accounts payable-related documentation, manage paper AP files, and otherwise facilitate the processing of accounts payable.
• Check positive pay controls.
• Ensure all Accounts Payable-related controls are in place and followed.
• File Sales & Use tax reports.
• Oversee issuance of 1099 reports
• Receive, process, and reconcile statementsPreform Accounting/Bookkeeping Related Tasks
  • Help prepare monthly financial statements.
  • Create and maintain monthly GL account reconciliations.
  • Generate and review monthly reports.
  • Assist with preparation for annual audits.
  • Prepare and distribute annual IRS forms.
  • Ensure compliance with internal accounting procedures.
  • Maintain accurate records, including ledgers, journals, receipts, and invoices.
  • Perform administrative and other tasks as needed.

QUALIFICATIONS

• Understanding of GAAP accounting principles
• Ability to maintain confidentiality.
• Proficiency with 10-key typing and data entry
• Deadline-driven with excellent time management ability

EDUCATION and/or EXPERIENCE

• 1-3 years of general accounting experience
• 1-3 years of experience working with accounts payable
• Associate or bachelor's degree in accounting or related field preferred.

LANGUAGE ABILITY

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to read and interpret documents such as safety rules, operating instructions, and work instructions.

MATH ABILITY

Ability to add, subtract, multiply, and divide using whole numbers.

COMPUTER SKILLS

The incumbent needs a basic understanding of computers and printers.
