Position Overview:
The Accounting Specialist plays a crucial role in our organization's financial operations. They oversee various accounting aspects, including donations, deposits, agency support, reporting, documentation, financial records, reconciliation, audits/tax returns, and accounts payable. This role requires meticulous attention to detail, strong communication skills, proficiency in accounting principles, and confidentiality.
Key Responsibilities:
Donations:
- Oversees direct mail and receipts process to include accurate coding and timely deposits.
- Oversees cash receipts processing.
Deposits:
- Manages accurate processing and recording of all daily deposits using Ceres Navision.
- Prepare and deposit EFT deposits from the banking portal daily.
Agency support:
- Prepares program and event invoices as needed.
- Processes agency credit memos.
- Provides agency support as needed.
- Prepare monthly agency statements.
Reporting:
- Generates daily deposit transaction reports for Development.
Documentation:
- Maintains appropriate documentation of vendor billing and payments; ensures the accuracy, integrity and credibility of all accounting records.
Financial records:
- Ensures appropriate financial policies and internal controls are followed; ensures confidentiality of all financial records and information.
Reconciliation:
- Monitors monthly reconciliation of deposits between the donor CRM system and Ceres Navision.
Audits/Tax Returns:
- Assists the CFO in preparation for annual audits and tax forms, including Form 1099
Accounts Payable:
- Managing purchase orders and vendor billing
- Processes check disbursements.
- Manage the Divvy credit card expenses and processes.
Requirements:
- 5+ years of general accounting experience
- 5+ years of experience working with accounts receivable and accounts payable.
- An associate or bachelor's degree in accounting or a related field is preferred.
