RESPONSIBILITIES
  • Client Communication: Act as a primary point of contact for clients, handling phone calls, emails, and inquiries promptly and professionally. Coordinate and schedule client meetings, appointments, and conference calls. Gather work papers for accounting posting and month end close process.
  • Client Onboarding: ensure established work flow process from sales to account onboarding of new customers is followed, ensuring a seamless and positive experience from initial contact through to successful integration of services.
  • Document Preparation: Assist in preparing and formatting documents, contracts, correspondence, and presentations. Proofread and edit documents for accuracy and adherence to firm guidelines.
  • Database and CRM Management: Maintain and update client information in the firm's database. Ensure accurate and timely input of client data, including contact details, project updates, and billing information. Coordinate with existing staff to ensure project deadlines are met in a timely fashion.
  • File Management: Collect, Organize, and maintain electronic files for existing accounting team. Ensure documents are appropriately labeled, filed, and easily accessible for month end close process for accounting services. Follow the firm's record-keeping policies and procedures for other organizational divisions.
  • Calendar Management: Manage Accounting team calendars, including scheduling meetings, quarterly reporting dates, and other deadlines. Remind Accounting team of upcoming obligations and provide necessary materials or information in advance. Assist accounting team in gathering missing information from clients.
  • Client Relationship Management: Develop and maintain positive relationships with clients through proactive and responsive communication. Address client concerns or issues promptly and escalate as necessary.
  • General Administrative Support: Assist with special projects and other duties as assigned. Flexibility key for fast growing company with evolving business opportunities and projects.

QUALIFICATIONS:
  • Customer Service Experience: Previous experience in a customer service role, preferably in a financial, accounting, or professional services environment. Demonstrated ability to manage client interactions, address concerns, and provide exceptional service.
  • Experience with QuickBooks or other accounting software is a plus
  • Empathy and Calmness: Display empathy, understanding, and patience when interacting with clients, particularly when addressing their concerns or complaints. Ability to remain calm and composed in stressful situations. 
  • Problem-Solving Skills: Strong analytical and critical thinking abilities to assess complex situations, identify key issues, and develop effective solutions. Ability to think creatively and propose innovative ideas to improve client satisfaction and department efficiencies.
  • Strong organizational, time management, and scheduling skills. Role will require dutifully ensuring customer project deadlines are met and kept while coordinating staffing schedules for project availability. Ability to prioritize tasks and meet deadlines.
  • Communication Skills: Excellent verbal and written communication skills, with ability to convey information clearly, concisely, and professionally. Active listening skills to understand client needs and deadlines. 
  • Technology Proficiency: Proficient in using customer relationship management (CRM) systems, email, and other relevant software applications. Ability to prioritize tasks and meet deadlines. Not afraid of new processes, ideas, or change.

Desired Skills, Abilities and Capabilities 
Bachelor degree in Business, Economics, Finance, or equivalent work experience desired but not required.
