Specialized clerical/bookkeeping work involving the application of accounting principles in the keeping of fiscal records, accounts receivable, accounts payable in the project tracking system.
Essential Job Functions
Conducts routine pre-audits of a variety of records by examining, verifying, and reviewing accounts, invoices, bills, vouchers, and records. Assists in the preparation of invoices for payment. Creates folders and maintains files of records of expenditures, purchase orders, and change orders. Prepares invoices/charge backs for payment and accounts receivable/payable. Assists in other bookkeeping functions such as maintaining files and the preparation of accounting reports. Enters data to generate reports and bills for service. Assists in other bookkeeping functions such as maintaining EXCEL accounting spreadsheets, bank reconciliations, and data entry into an ACCESS database to generate accounting reports. Performs typing of correspondence, reports, memoranda, forms, and records. Files records and maintains logs. Processes and posts records. Processes and assembles data for entry into the computer. Performs data entry into computer system. Balances detailed accounts with budget and expenditure reports. Maintains payroll records, time sheets, labor costs, and records. Prepares special and periodic reports. Communicates by telephone and in writing. Effectively deals with the general public. Performs related work as required.
Knowledge, Skills and Abilities
- Knowledge of bookkeeping principles and procedures.
- Ability to acquire knowledge of the rules and regulations relative to accounting records.
- Ability to operate office machinery to include a computer terminal and a PC using (Microsoft Office Products: Excel, Access, etc.).
- Ability to make mathematical calculations with speed and accuracy.
- Ability to understand and carry out oral and written instructions.
- Ability to establish and maintain effective working relationships with employees and the general public.
Minimum Requirements
PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication.
EDUCATION, TRAINING AND EXPERIENCE: Graduation from high school or possession of an acceptable equivalency diploma. One (1) year of experience in bookkeeping and/or the maintenance of fiscal records. Experience with a computer terminal or PC required.
LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver's license.
