Title: Accounting Assistant and Cashier
Position Purpose:
Working under the general supervision of the Controller, this position performs a variety of tasks in cashiering and in support of the Accounting Department.
Job Duties:
  • Functions as the cashier for receiving and receipting College department and organization deposits for a variety of activities. Ensures that deposits are accurate and properly documented;
  • prepares and reconciles the cash report and bank deposit; and receives department change orders and calls them into the bank. This position is responsible for maintaining proper internal controls relative to cash handling.
  • Additional cashiering duties include disbursing cash for petty cash transactions (generally less than $150), and replenishing petty cash funds after reviewing for proper authorization, ensuring that transactions are fully and adequately documented, properly coded and generally in line with sound business practices.
  • Monitors checks returned from the bank for insufficient funds, including preparing and following up on collections letters.
  • Monitors and distributes electronic bank transactions including distributing ACH and wire notifications to departments on campus. Communicates significant bank transactions to the Treasurer.
  • Performs weekly review of corporate charge card transactions including verifying receipts and account coding.
  • Performs daily mail pick up, drop off, sorting and disbursing of invoices and finance related notices.
  • Responsible for a number of miscellaneous functions including running various feed processes to update the accounting system, conversion of paper records to electronic databases, data processing of journal entries, and performing other duties as assigned.
  • This position performs backup Accounts Payable functions as needed, including keying vendor invoices, maintaining vendor records, and assisting with the weekly batch payment cycle.
  • Working as part of a team, this position reviews proposed changes in processing and gives suggestions for improvements including how proposed changes may affect work flow.

Minimum Qualifications:
Education
  • Associate degree in Business Administration or equivalent experience required.
  • Bachelor degree in accounting or business related field preferred.

Experience
  • Experience in accounting preferred.
  • Banking experience preferred.

Skills and Knowledge

  • Familiarity with spreadsheet financial functions in Excel.
  • High level of attention to detail and accuracy.
