The Accounting Assistant is responsible for performing a range of accounting and clerical tasks related to the accounts payable/receivable functions. This generally includes receiving, processing, and verifying invoices, tracking expenses, and providing administrative support to the firm's Controller, maintaining confidential and sensitive information with utmost discretion and integrity.
Supervisory Responsibilities: None.
Duties/Responsibilities:
· Enters client expenses into Filevine, records & codes entries to appropriate accounts.
· Enters invoices & expenses into QuickBooks, records & codes entries to appropriate accounts.
· Verifies the accuracy of accounts payable & ensures proper approval.
· Ensures accuracy & completeness of all data entry.
· Assist Controller with processing invoices & expense reports for client cases and internal staff.
· Assist Controller with oversight & management of secondary companies for billing purposes.
· Assist Controller with management & data entry of various Legal & Accounting Google Sheets.
· Assist Controller with tracking & reconciling expenses, including company credit cards.
· Assist Controller with budget preparation & monitoring.
· Assist Controller with various accounting & legal billing projects.
· Assist Controller with collaboration & communication with legal staff.
· Monitors & records billable hours for legal staff.
· Sending payment reminders & following up on overdue accounts for clients & vendors.
· Maintains organizes & updates records and documents via hard copy filing and electronic file storage.
· Maintains a high level of confidentiality regarding the finance department and sensitive information.
· Ensures proper archiving of financial documents for auditing purposes.
Required Skills/Abilities:
· Proficiency using QuickBooks, Excel, Word, Outlook, PowerPoint, Google Sheets.
· Familiarity with legal billing or law firm experience is a plus.
· Excellent verbal and written communication skills.
· Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
· Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
· Ability to work independently and in a fast-paced environment.
· Ability to anticipate work needs and interact professionally with customers.
· Excellent organizational skills and attention to detail.
Education and Experience:
· Bachelor’s degree in business or accounting preferred, or relevant job experience within the accounting field.
· QuickBooks certification - Preferred
· 3 - 5 years of experience working with QuickBooks.
· 3 years of experience working with Filevine – Preferred.
· 3 - 5 years of experience working as an AP /AR Clerk.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per hour
Expected hours: 40 per week
