Reporting directly to the University Housing Business Officer, this role offers an exciting opportunity to contribute to our mission and drive organizational success. In this role you will oversee and serve as the primary contact for departmental purchasing, travel authorizations, budget management, quarterly reviews and financial reconciliation.
Key responsibilities will include but are not limited to:
Purchasing Management:
- Manage departmental purchasing processes, including P-Card transactions, marketplace purchases, invoices, and large requisitions.
- Facilitate P-Card reconciliation and train staff on usage.
- Coordinate procurement processes and track invoices against POs.
- Lead Housing RFPs and process large non-marketplace orders.
- Collaborate on long-term capital planning and budget development.
- Coordinate budget management and financial reconciliations for projects.
- Conduct quarterly budget reviews and assist with annual budget preparation.
- Manage service agreement renewals and track billing.
- Oversee travel auditing, training, and process updates.
- Review and approve Facilities staff Travel Authorizations and Reimbursements.
- Advise staff as a subject matter expert on travel requests.
- Serves as the CAMS coordinator for Housing
- Assists with the development of a capital plan tracking system
- Coordinate the vehicle fleet, including new/surplused vehicles, inspections, and accident reporting.
- Work with Capital Asset Management (CAMS) and Risk Management on vehicle-related matters.
Bachelor’s degree in business administration, accounting or related discipline and three years of experience; or an equivalent combination of training and experience
Other Required Qualifications:- Experience applying general accounting principles
- Demonstrated experience in financial management, procurement and budgeting
- Strong analytical skills, communication, and interpersonal skills
- Proficiency with accounting software programs and MS Office Suite.
- Proven ability of understanding and interpreting university financial policies and procedures
- Experience with Smartsheets, Peoplesoft Financials or other similar systems
- Working experience in higher education financials
