Duties and Responsibilities
  1. Responsible for the areas of scheduling and curriculum in the Academic Affairs Office, in collaboration with the Division Chairs, Academic Program Specialist, and Associate Vice Chancellor of Academic Affairs and staff.
  2. Facilitates planning of schedules by evaluating course, room, day and time requests utilizing data from scheduling software and information from Enrollment Services and the Registrar to gauge the adequacy of course sections and offerings to allow timely degree completion.
  3. Utilizes 25Live room scheduling for all academic related room reservations and works closely with Food Services and Events department to ensure accuracy of all classroom space utilization.
  4. Provides consultation to the General Education committee to provide curricular guidance and maintains a database of general education and focus designations so that course designations and course prerequisites are accurately reported and attached to sections offered.
  5. Identifies course conflicts and proposes alternatives to resolve conflicts to the Associate Vice Chancellor for Academic Affairs.
  6. Provides scheduling support for non-credit courses.
  7. Identifies alignment challenges within existing institutional structures of Academic and Student Affairs to enable STAR-GPS registration interfacing and assists with solutions.
  8. Responsible for reconciling prerequisites including identifying "hidden" prerequisites for academic programs not on the Guided Pathways which are required to be completed to fulfill academic program requirements.
  9. Identifies programs with differences in requirements between catalog, program advising sheets, and STAR pathways. Identifies course substitutes and exceptions fundamental to program requirements but not yet officially promulgated.

Minimum Qualifications
  1. Possession of a baccalaureate degree in a relevant field and 3 year(s) of progressively responsible professional experience with responsibilities for providing educational assistance to students, including academic advising, academic success programs or related work experience; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, sills and abilities as indicated.
  2. Considerable working knowledge of principles, practices and techniques in area of higher education administration, such as academic advising and/or academic success programs, as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with higher education administration.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  7. Demonstrated ability to operate a personal computer, apply word processing software and various types of student information systems and workflow software.
  8. For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  9. Demonstrated organizational skills, attention to detail, and accuracy
  10. Ability to interpret and analyze institutional research data and reports.
  11. Experience in working in a high volume transactional environment.
  12. Ability to handle frequent interruptions and still meet competing deadlines.
  13. Excellent customer service skills with the ability to interact effectively with students, faculty, and administrative staff while displaying professionalism and tact.
Desirable Qualifications
  1. Considerable knowledge of administrative and organizational processes as applied to the management of operations, services, facilities, and programs.
  2. Proficiency and experience with Banner student information system, STAR pathways, Kuali Build, and Kuali Curriculum Management.
  3. Experience in academic advising at the post-secondary level, including participation in system-wide scheduler meetings.
  4. Ability to interpret performance metrics and apply legal and policy provisions to situations consistently.
  5. Demonstrated ability to work effectively with multicultural populations and indigenous communities.
  6. Knowledge of the University of Hawai'i or public sector organization and applicable policies, procedures, and relevant practices.
  7. Experience with the development of articulation agreements and how they are used in higher education.
