Duties & Responsibilities:
  1. Administer various vaccines.
  2. Administer COVID-19 testing and other required tests.
  3. Administer injections, TB tests, obtain vital signs, focused histories
  4. Assist with physical exams
  5. Conduct Clinical Laboratory Improvement Amendments (CLIA) waived lab tests, including but not limited to, Pregnancy, COVID, Strep, Flu and Urinalysis tests
  6. Administer injections, TB tests, obtain vital signs, focused histories and assist with physical exams and treatments and/or vaccinations as directed by Primary Care Physician
  7. Manage patient flow and maintain records following Health Insurance Portability and Accountability Act (HIPAA) guidelines
  8. Maintain confidential patient files and is responsible for all office records management according to HIPAA guidelines.
  9. Responsible for inputting data into various systems, including but not limited to inputting Clinic Visit Records (CVRs) and other data for family planning database.
  10. University of Hawaii Maui College (UHMC) health clearances into Banner four (4) hours per week (minimum)
  11. Responsible for inventory management (complete monthly inventory of medications and log)
  12. Determine eligibility status for medical insurance billing and/or collections at time of service
  13. Check in patients and charge accordingly (Clients of Family Planning will be processed accordingly, refer to current schedule of discounts).
  14. Execute the input of student health clearances into data software programs specific to UHMC in accordance with the policies of the University of Hawaii (UH) and the UHMC Health Center to ensure that information is accurate for the intended use and inputted in a timely manner.
  15. Assist with management of clinical budget, collect patient service fees and oversee patient insurance billing services.
  16. Provide primary medical care and health education programs to students, faculty, staff and Maui Community.
  17. Provide activities and programs for other campuses within the UH system.
  18. Responsible for patient intake, initial assessment of patients (i.e., history-taking, measurements of vital signs, weight/height, vision testing, etc.).
  19. Oversee student assistants and student Medical Assistant doing patient intakes
  20. Oversee clinic room set up, cleaning, stocking of supplies, etc.
  21. Prepare and record laboratory specimens for transportation to outside labs as indicated.
  22. Prepare patients and assists physicians with examinations and procedures (pelvic exams, surgical procedures, suturing lacerations, splinting).
  23. Schedule procedures on and off facility (i.e., x-rays, MRIs and CT scans).
  24. Perform various treatments (irrigating ears, dressing wounds, applying bandages, etc.).
  25. Prepare and process medical records for patient visits; ensure patient charts are maintained and handled in accordance with UHMC, HIPAA, Policy and Procedures; Maintains records of patient's recommended medical follow up action as directed by the medical staff.
  26. Expedite the flow of patients by providing appropriate instructions; inform medical staff of incoming lab reports and other medical correspondence; assist in obtaining medical results from other medical facilities.
  27. Supervise and train student assistants and Medical Assistants with essential duties, such as but not limited to front desk duties, patient check-in, vital signs, insurance, medical forms, etc.
  28. Assist patients in arranging for referrals to health care providers and others on and off campus; instructions for prescribed follow-up tests, return visits and referrals; Schedule appointments for specialty clinics; greet patients, answer phones and convey messages.
  29. Attend scheduled staff meetings.
  30. Other duties as assigned.
Minimum Qualifications: Education and Professional Work Experience
  • Possession of a baccalaureate degree and two - three (2-3) years of progressively responsible professional experience with responsibilities for Managing a Health Care Facility; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Knowledge, Skills and Abilities
  1. Functional knowledge of principles, practices and techniques in the area of Managing a Health Care Facility demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  2. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with a Health Care Facility.
  3. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of Health Care Facility.
  4. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  5. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  6. Demonstrated ability to operate a personal computer and apply word processing software.
Supplemental Minimum Qualifications:
  1. Medical Assisting 1 Certificate of Completion
  2. General knowledge of HIPAA guidelines and protocol.
  3. Two (2) years of Medical Assisting experience
  4. Must understand medical terminology
  5. Previous experience administering vaccines including the COVID 19 tests
  6. Experience conducting COVID-19 testing
  7. Previous experience administering injections, Tb tests, obtain vital signs, focused histories and assist with physical exams
  8. Must be able to conduct Clinical Laboratory Improvement Amendments (CLIA) waived lab tests, including but not limited to, pregnancy tests, COVID tests, strep tests, flu tests, urinalysis tests
  9. Desire to administer injections, Tb tests, obtain vital signs, focused histories and assist with physical exams and treatments and/or vaccinations as directed by Primary Care Physician
Desirable Qualifications:
  1. Family Planning program experience
  2. Working knowledge of various computer databases
  3. Experience working with Family Planning program
  4. Knowledge of the theories, principles and practices of organization and management.
