Role: ABA Financial and Administrative Specialist (Hybrid)

Location: Remote (Hawaii)

Start Date: April 1, 2024 (when would this be)

We are currently in search of an experienced Applied Behavior Analysis (ABA) Billing, Credentialing, and Payroll Specialist. This pivotal role underpins the financial vitality and operational efficiency of our organization. The successful candidate will be entrusted with the meticulous management of billing processes, precise invoicing, and diligent tracking of insurance and Department of Education (DOE) based services. This position not only demands a high level of expertise and proficiency in ABA billing practices but also offers a pathway to leadership within Emergent. Aspirants with a record of superior performance, increased hours, and steadfast adherence to ABA billing protocols will be considered for advancement opportunities. In additional, assistance with Payroll and any other financial duties may be considered.

Key Responsibilities

  • Billing and Invoicing: Execute accurate billing and invoicing for ABA therapy services, including private pay, insurance and DOE-based services.
  • Insurance and DOE Service Tracking: Monitor and track insurance and DOE-based services, ensuring all billable services are accurately captured and processed.
  • Credentialing and Compliance: Handle credentialing processes and ensure adherence to HIPAA and other industry regulations.
  • Insurance Verification: Participate in insurance verification processes, communicating with families regarding deductibles, copays, and coinsurance.
  • Financial Communication: Inform families about their financial responsibilities and maintain billing for all private pay clients.
  • Payroll: Assisting in any payroll duties as assigned
  • Appointment Management: Enter all appointments from the scheduler into appropriate programs.
  • Inquiry Response: Address questions from patients, clerical staff, and insurance companies.
  • Collaboration and Coordination: Work alongside the administrative team to ensure clean and efficient billing.
  • Confidentiality and Compliance: Maintain the strictest confidentiality and adhere to HIPAA guidelines.
  • Reporting and Analysis: Analyze billing processes to optimize strategies and reduce discrepancies.

Qualifications & Skills

  • Experience: Minimum of 3 years in a relevant role, or an equivalent combination of education and experience. You must be able to execute the billing needs of the ABA DOE and Insurance-based services independently (after appropriate training)upon starting your position. We also seek a professional who will grow into a leadership role and will be available to advance to a full-time position.
  • Administrative Knowledge: Strong understanding of administrative and clerical procedures.
  • Technology Proficiency: Skilled in computers, relevant software applications, and practice management technology.
  • Problem-Solving and Judgement: Excellent problem-solving skills and sound judgment.
  • Collaboration and Relationship Building: Ability to work across departments and build effective relationships.
  • Customer Service Knowledge: Familiarity with customer service principles and practices.
  • Detail and Quality Orientation: High level of attention to detail and a focus on quality.
  • Organizational Skills: Strong organizational abilities.
  • Communication Skills: Excellent verbal and written communication skills.
  • Confidentiality and Discretion: Ability to handle confidential information with discretion and judgment.

Work Environment & Physical Demands

  • Setting: Remote office setting and remote setting.
  • Physical Demands: Typical demands of an office environment, including sitting, standing, walking, typing, and phone communication.
  • Flexibility: Ability to work designated hours to fit needs of HI and work remotely as well as in person as designated (less often).

PAY: Hourly rate of $20 to start. This will move from a part-time to full-time job position as we are looking for leadership to not only work within our Hawaii domain but other states which requires flexibility.
