Position Summary
To provide administrative support to the Gift Planning Directors and to efficiently coordinated the daily operation of the Gift Planning office, especially in the scheduling, preparation, editing, mailing and tracking of all Gift Planning marketing projects.
Essential Functions
1. Maintain the vision, mission, priorities, and guiding principles of The Salvation Army.
2. Provide administrative support to all Gift Planning Directors in four satellite offices, including the management of: calendars, confidential files and reports, screening calls, processing mail, data research.
3. Manage Gift Planning marketing calendar and coordinate and execute marketing projects with the guidance of Directors of Gift Planning team on an ongoing monthly basis. This includes scheduling, preparation, editing, mailing and tracking of all planned giving marketing materials and budget.
4. Follow-up/stewardship calls with donors after marketing projects, as requested. Make appointments with donors for DGP as requested.
5. Assist with Special Events functions - develop seminar materials as directed by Gift Planning Directors, including Power Point presentations, research event facilities and obtain vendor proposals, manage RSVP responses, answer donor inquiries, attend seminars & coordinate and check-in guests.
6. Answer Gift Planning office phone and respond to donor gift enquiries in a timely manner and taking appropriate follow-up action, as necessary.
7. Interface with vendors, track projects and schedules. Submit vendor invoices to Finance for payment in a timely manner. Coordinate and assemble projects when requested.
8. Amend donor information in Portfolio database as needed by inputting incoming leads, update records, deaths, remove fundraiser, and add as fundraiser. Update birthdays, address changes, marital statuses, delete multiple accounts, create mass upload notes.
9. Become familiar with the Gift Planning metrics reporting requirements and execute as required.
10. Assist with implementing donor communications including preparation and editing of letters, emails, invitations, presentations, birthday and thank you cards, and other communications targeted to specific donors, ensuring timely and appropriate execution. Assist DGP's with letters to donors by providing templates, DCs signature and proof reading when requested.
11. As directed, produce Crescendo illustrations for donor enquiries for the Director of Gift Planning, as requested.
12. As directed, use donor search engines to obtain donor information for DGPs to create GP proposals.
13. Facilitate budget development and monitor expenditures in conjunction with the Senior Gift Planning Director and team.
14. Participate in all Gift Planning training onsite and offsite in accord with the needs and times for such training, and as approved by Director of Development.
15. Manage inventory of marketing materials - order as required and fulfill orders from the directors and ensure it stays within budget.
16. Check incoming Gift Planning inbox emails throughout the day and forward incoming emails and/or leads to Directors of Gift Planning.
17. Assist with submitting Director of Gift Planning receipts in Finance Web, if asked.
18. Coordinate and check vendor survey responses and send leads to DGP's and prepare follow-up letters to send with marketing materials, if asked.
19. Submit agenda items to TSAMM for CFC approvals for the Director of Gift Planning team, when requested, and ensure proper follow-up and action taken.
20. Perform other related duties as assigned by the Senior Gift Planning Director.
21. Attend bi-weekly/monthly GP Coordinator or DGP team meetings and other Gift Planning meetings, as requested.
22. Assist the Development Department with fundraising events, as needed and as available.
Working Conditions
Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax and telephone. Ability to lift up to 25 lbs.
Minimum Qualifications
  1. Minimum three years of experience in an administrative support position, B.A. preferred.
  2. Experience in a development role, planned giving preferred.
  3. Experience in scheduling, ordering, and monitoring production and distribution of publications and other marketing materials.
  4. Experience working with the public, outside vendors and customers. Good customer relations experience.
  5. High degree of experience in use of computer applications and platforms including data base management software and basic office software (Word, Excel, Power Point or their equivalents)

Skills, Knowledge & Abilities
  1. Driving Test and clean MVR check (if applicable).
  2. If working in vicinity of children a criminal background check is required with certification for Protect the Mission policies and procedures.
  3. Excellent communication skills, both written and verbal.
  4. Excellent proof-reading skills.
  5. Proficient in Microsoft Office and preferably Portfolio
  6. Ability to create spread sheets.
  7. Ability to work with minimal supervision and with strong self-initiative.
  8. Ability to maintain high level of professionalism with good judgement, and confidentiality.
