JOB DESCRIPTION
Summary
This position provides administrative, clerical, and secretarial support to the High School faculty and staff and assists in the efficient operation of the organization.
Essential Functions
- Answers incoming phone calls and directs calls as appropriate
- Greets visitors and directs to the appropriate person or area
- Dispenses medications as needed and maintains accurate records
- Serves as health aide throughout the school day
- Drafts minutes at meetings and distributes as needed
- Orders and maintains all supplies
- Acts as the school assistant registrar
- Performs general clerical duties such as photocopying, mailing, filing, drafting documents, maintaining digital records, maintaining and transferring files as needed, etc.
- Sends out school communications as directed
- Supervises students as needed
- Coordinates transportation and food for school events
- Uploads all school information like calendars, events and resources to the parent portal in Blackbaud
- Tracks student attendance with Faculty Lead to ensure it is accurate and recorded accurately in Blackbaud
- Assists with the coordination of safety and security-drills training etc. (Work with Senior HR Manager, Dean of Academic Programming and Partnerships, Principal)
- Serves as the Parent Association Liaison for: Events (Fall Festival, Winter Social, Prom, Weekend/Day off hang out), Teacher Appreciation Monthly and Teacher Appreciation Week (food/gifts etc.), Pizza Fridays etc.)
- Works closely with Admissions team on Open House and scheduling tours
- Work closely with Development team to plan Graduation, Trivia Night etc.
- Responsible for the collection and compilation of school data
- Work with Dean of Academic Programming and Partnerships and Faculty Lead with Renaissance (STAR) to schedule school-wide testing/individual accommodations/retesting
- STAR Testing results individual and whole school
- Goals from social emotional surveys- individual and whole school
- School wide goals in the areas of reading, writing, math
- Partners with Dean of Academic Programming and Partnerships to provide guidance to COZAD/Supreme GreenPartners with Dean of Academic Programming and Partnerships to coordinate picture day with Dean of Academic Programming and Partnerships
- Coordinates lockers and locks, including distribution and maintaining documents
- Actively engage and support Miriam School and Learning Center's diversity, equity, inclusion and belonging statement
Required Education/License/Certification(s) and Experience
- Knowledge of general school office operations required
- Bachelor's degree required
- Minimum of two years related experience in a school preferred
- Working knowledge of Microsoft laptops, ipads and office equipment preferred
- Excellent oral and written communication skills
- Proficiency in Microsoft Office and Google Workspace (and Blackbaud-Student Information System is helpful but not necessary
- Ability to multi task in a fast-paced environment while paying close attention to detail
- Ability to communicate effectively with all constituents in a school environment
- Ability to work with students who learn differently
Working Conditions
- Full time position for 12 months
- Days and hours of work are Monday through Friday 7:45AM to 3:45PM, and until 4:45PM one day per week every other week during the school year to attend staff meetings.
