Connections Behavior Planning & Intervention (CBPI) offers home-based, school-based, and center-based Applied Behavior Analysis Therapy (ABA) to children with autism (ASD), emotional behavioral disorders (EBD), and developmental disabilities. We are seeking an experienced Workforce Management/Coordinator to join our growing team. This position is anticipated to be full-time, non-exempt with a schedule of approximately 6:00AM until 3:00PM (PACIFIC TIME, with a one-hour lunch), Monday through Friday. Primary responsibilities involve coordinating client and staff scheduling on NPA Works (online practice management software) including but not limited to:
- assign Schedules for all CBPIs clients and services including but not limited to regular scheduled services, Assessments, make ups, cancellations, etc of service sessions varying from two to 7 hours in length.
- Optimize the usage of clients approved service hours, prioritizing employee and client availability as well as client/staff attributes
- Communicate information about scheduling and related topics between providers, client families, and/or other relevant parties.
- Receive the appointment call outs and cancellations from clients and staff with prompt communication of coverage details to multiple members of each team (BCBA/Directors, staff, and families).
- Create schedules ensuring policies and requirements of funding sources regarding appropriate staff credentials, certifications, and qualifications are considered Identify and problem solving related to scheduling of services. Provide concierge-level service while interacting with clients, and team members over phone, in person, or via email.
- Report details of call outs and cancellations to supervisors on a bi-weekly basisCassist with the production and delivery of on-going reports related to scheduling and fulfillment of scheduled services.
- Oversee and perform various clerical and administrative tasks related to scheduling and associated issues that require initiative and independent judgement.
- Ensure record of daily schedule and staff placement changes are maintained on NPA works before end of day.
- Work with HR on staff time off request to ensure all clients receive coverage.
- Work with the Workforce Management team to ensure details of coverage and schedule change processes are completed with accuracy and in a timely manner
To be successful in this role you must have a minimum of a high school diploma or general education degree (GED) and one-year related experience in a scheduling role in the medical field or ABA scheduling; or equivalent combination of education and experience.
- Excellent time management, attention to details, ability to multitask, and communication skills REQUIRED
- Ability to multi-task and maintain professionalism among many departments, staff, and clients REQUIRED
- Demonstrated proficiency with Microsoft Office (Microsoft Word and Excel) REQUIRED
- Ability to work with all levels of employees and various departments REQUIRED
- A dedicated team player who easily collaborates with directors, managers, and employees REQUIRED
- Prior Experience with NPA works a plus but not required.
- Have an understanding of ABA Therapy, a plus, but not required
